Create PayPal Invoice Templates From a Sheet of Service Definitions

The Scenario

You are a finance lead at a consulting firm that bills clients across five service lines — strategy, research, implementation, training, and support. Every service line has a different standard set of line items, a different default payment term, and a different note to the client.

You want a matching PayPal invoice template for each service line so your billing team can spin up invoices in seconds. The template specs are in a Google Sheet: column A has the template name, column B has the currency, column C has the default line item description and unit price. You need all five templates created before the billing team starts work on Monday.

The slow version:

  • Open PayPal's template builder
  • Create template 1 — name it, set currency, add line items, set the note, save
  • Repeat for templates 2 through 5
  • Realize template 3 has the wrong currency and edit it

When you want different payment terms per template

When some line items have multiple components

The implementation template needs three line items — kickoff, delivery, and review — not just one.

For rows where column C contains multiple line items separated by semicolons, create a PayPal invoice template with one line item per segment. Use the format "description: unit_price" for each segment. Write the template ID into column D.

When you want a pre-flight verification before creating

You want to confirm the data looks right before any templates are created.

Read the template spec sheet and write a summary table showing what each PayPal template will be named, what currency it will use, and what its line items will look like — without creating anything yet. I will review and confirm before you proceed.
