List All PhantomBuster Agents Into a Sheet for an Infrastructure Audit

The Scenario

You are a team lead managing 15 Phantom agents across four different LinkedIn outreach campaigns. It is the last week of the quarter. Before you hand the account over to a new team member next month, you need a Google Sheet showing every agent's name, ID, current schedule, and last execution date.

Without that audit, the new person is walking into a black box.

The bad version of this week:

  • You open PhantomBuster and start writing down agent names and IDs from the dashboard
  • The dashboard only shows 10 agents per page, so you paginate through
  • You copy the schedule for each agent by clicking into each one individually
  • You paste the details into a sheet manually, agent by agent
  • Some agents show "never run" and some show partial timestamps you have to decipher
  • You finish the audit with 13 of 15 agents documented and two you cannot find because the names are ambiguous in the dashboard.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that can pull every Phantom agent's details from the PhantomBuster API in one call and write them directly into the sheet, with no pagination and no clicking around the dashboard.

Open the SheetXAI sidebar and type:

Fetch all PhantomBuster agents for this account and write agent name, ID, launch type, and last execution date into columns A through D of this sheet.

SheetXAI calls PhantomBuster's agent list endpoint, retrieves all 15 agents in one go, and writes each row into the sheet. All 15 agents, in four columns, done in under a minute.

What You Get

A clean audit sheet covering every Phantom agent in the account:

  • Column A — agent name
  • Column B — agent ID
  • Column C — launch type (manual, scheduled, API-triggered)
  • Column D — last execution date

The new team member can look at this sheet and understand the full infrastructure immediately. No PhantomBuster dashboard access needed until they are ready to actually run something.

Once the audit sheet is populated, you can ask SheetXAI to flag the dormant agents, annotate each one with which campaign it belongs to, or sort by last execution date to see what has been running recently.

What If the Data Is Not Quite Ready

Agent audit sheets often need more context than a raw API dump provides. SheetXAI fills in the gaps in the same prompt.

When you want dormant agents flagged inline

The new team member needs to know immediately which agents have gone dark without reading every date.

List all PhantomBuster agents and write agent name, ID, status, and last run timestamp into columns A through D. In column E, write DORMANT for any agent with no execution in the last 14 days, and ACTIVE for the rest.

When you want to group agents by campaign

The 15 agents belong to four campaigns and the audit sheet should make that structure clear.

Fetch all PhantomBuster agents and write name, ID, launch type, and last execution date into columns A through D. In column E, group them by campaign based on agent name prefixes: any agent starting with "LI-Connect" belongs to the Connection campaign, "LI-Visit" to the Profile Visitor campaign, "LI-Message" to the Messaging campaign, and all others to the Unknown bucket.

When you need the agent schedule in human-readable form

The launch type field returns "oncePerDay" or API codes, not a plain English description.

Fetch all PhantomBuster agents and write name, ID, and last execution date into columns A through C. In column D, write the schedule in plain English: "Daily at 9 AM," "Manual only," "Every 6 hours," based on the launch type and schedule fields returned by the API.

When you need a complete handoff document: agents, status, campaigns, and a summary count in one prompt

The new team member starts Monday and needs to be briefed Friday afternoon.

Fetch all PhantomBuster agents for this account. Write agent name, ID, launch type, and last execution date into columns A through D. In column E, write DORMANT if the agent has not run in 14 days, ACTIVE otherwise. In column F, assign a campaign group based on name prefix: LI-Connect, LI-Visit, LI-Message, or Unknown. In row 1 above the data, write a summary: "Total agents: X | Active: Y | Dormant: Z".

The pattern: the handoff document writes itself. The incoming team member gets the infrastructure overview without needing a walkthrough.
