Export the Full Crew Roster With Rates From Rentman Into a Google Sheet

The Scenario

Your HR coordinator dropped a task in your inbox: the annual contract renewal review starts next week, and the finance team needs a current export of every crew member in Rentman — first name, last name, email, job title, and day rate — before Wednesday's meeting.

You manage 120 freelancers across three departments. Rentman has all of it. Your Google Sheet is empty.

The bad version:

  • Export the crew list from Rentman's contacts or crew module as a CSV
  • Open it and realize day rate is not in the standard export — it lives in a custom field or a separate compensation section
  • Go back into Rentman, find the right export setting, get a second CSV with rates, and merge the two by email address in Sheets

That merge takes longer than it should because 14 email addresses have a trailing space in one of the two exports.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent embedded in your Google Sheet. It reads the sheet structure, connects to Rentman, and can pull crew records — including rate fields — into the exact columns you need.

Export all Rentman crew members and put first name, last name, email, job title, and day rate into columns A through E starting at row 2

What You Get

  • Column A: first name
  • Column B: last name
  • Column C: email address
  • Column D: job title or role
  • Column E: day rate as a numeric value
  • One row per crew member, no duplicates
  • Crew members without a day rate on file have that cell left blank rather than throwing an error

What If the Data Is Not Quite Ready

You need the crew sorted by role to match how the finance team reviews the sheet

Export all Rentman crew members sorted by job title and write first name, last name, email, and day rate into columns A through D

Some crew records are missing email addresses — flag those rows for follow-up

Pull all Rentman crew members and write first name, last name, email, and day rate into columns A through D — add MISSING EMAIL in column E for any row where the email field is blank

You need a count of crew per role at the bottom of the list for the finance summary

Fetch all Rentman crew members, write first name, last name, and job title into columns A through C, then below the last row add a section listing each unique job title and the count of crew members in that role

Full contract review kill chain: pull all crew, flag anyone missing a day rate as NEEDS RATE, sort by rate descending for negotiation priority

Export all Rentman crew members with first name, last name, email, job title, and day rate into columns A through E — mark any row with no day rate as NEEDS RATE in column F, then sort the sheet by column E descending so highest-rate crew appear first

The finance team gets the spreadsheet they need in one exchange, not a two-step CSV merge exercise.
