The Scenario
It's Monday morning. Your weekly production planning call is at 10 AM and you need a current view of every confirmed event for the next 30 days — project name, start and end date, venue, and primary contact — in the shared planning sheet everyone looks at during the call.
You inherited this sheet from the person who left in February. They used to export it manually every Sunday evening. Nobody has kept it up since.
The bad version:
- Log into Rentman, go to Projects, filter by status Confirmed and date range, export the CSV
- Open the CSV, notice the date columns are in a format that breaks when imported into Sheets
- Fix the dates, copy the columns the call needs, paste into the planning sheet — then realize the contact column pulled the internal contact ID, not the name
It's 9:52 AM. The call is in eight minutes. The sheet has last month's data in it.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your Google Sheet. It reads the sheet context, connects to Rentman, and can pull the confirmed project list — filtered, formatted, and written into the right columns — in one shot.
Get all Rentman projects with status confirmed for the next 30 days and write project name, location, start date, and end date into columns A through D starting at row 2
What You Get
- Column A: project name
- Column B: venue or location
- Column C: start date (formatted as YYYY-MM-DD or matching the column header format if present)
- Column D: end date
- Filtered to confirmed status only — quotes and optionals are excluded
- Sorted by start date ascending so the next event is always at the top
What If the Data Is Not Quite Ready
You also need the primary client contact name in column E for the call
Get all Rentman confirmed projects for the next 30 days and write project name, location, start date, end date, and contact name into columns A through E
Projects from a specific client need to be highlighted — flag them in column F
Fetch all confirmed Rentman projects for the next 30 days, write project name, location, start date, and end date into columns A through D, then check if the contact name contains "Apex Events" and write YES into column F for matching rows
The planning sheet already has old data — clear it first, then refresh
Clear columns A through E from row 2 downward, then fetch all confirmed Rentman projects for the next 30 days and write project name, location, start date, end date, and contact name into those columns
Full planning kill chain: pull the confirmed projects, flag any that start within 72 hours as URGENT, and sort with URGENT rows at the top
Get all confirmed Rentman projects for the next 30 days, write project name, start date, end date, and contact into columns A through D, mark any project starting within 3 days as URGENT in column E, then sort the sheet so URGENT rows appear first
One prompt, one refresh, one planning sheet that's actually current when the call starts.
