The Scenario

You are a delivery manager. It is Thursday morning, thirty minutes before a weekly team standup. You need to know where every open task stands across fifteen active projects before you walk into the room.

Rocketlane has the data. Three hundred open tasks scattered across projects at different stages, with different assignees, different due dates, and no consolidated view. You cannot pull a cross-portfolio task list from the UI without clicking into each project individually.

  • Open project one, screenshot the task list
  • Open project two, note the overdue items

When you need to separate overdue tasks from tasks due this week

You want two views: what is already late, and what is coming due in the next five days.

List all open Rocketlane tasks. Write tasks with a due date before today into the 'Overdue Tasks' sheet with task name, project, assignee, and how many days overdue. Write tasks due in the next 5 days into the 'Due This Week' sheet. Leave the 'Open Tasks' sheet with everything.

When you want to see task counts by assignee for a capacity check

Before the standup you want to know who has how many open tasks, not just the task list itself.

List all open Rocketlane tasks. Group them by assignee and write a summary to the 'Capacity Summary' sheet: assignee name in column A, total open task count in column B, overdue task count in column C. Then write the full task list to the 'Open Tasks' sheet below.

When you only want tasks from a specific set of projects

Not all fifteen projects are in the same delivery phase. You only want to review the ones in active delivery.

Get all Rocketlane tasks with status "in_progress" from the projects listed in column A of the 'Active Projects' sheet. Write task name, assigned user, project, and due date into the 'Team Health' sheet, sorted by due date ascending.

When you want to compare this week's open task count to last week's

You are tracking whether the team is closing tasks faster than they are opening them.

List all open Rocketlane tasks and write the count by project into column C of the 'Weekly Trend' sheet, next to last week's counts in column B. In column D, calculate the change and write "UP," "DOWN," or "FLAT" for each project.
