Bulk-Add Call Notes to Salesflare Accounts from a Sheet

The Scenario

You are on a sales team that just returned from a 2-day field trip. Twenty-five accounts visited, notes taken. Everyone typed their call notes into a shared Google Sheet on the way home: account ID in column A, the note text in column B.

These notes need to be in Salesflare before end of day. Tomorrow morning the whole team will be on calls, and a note sitting only in a Google Sheet is a note nobody else can see.

The bad version of this evening:

  • Open Salesflare, search for account 1
  • Click the account, find "Add Note," paste the text from the sheet, save
  • Search for account 2, repeat
  • Twenty-five times
  • By note 18 your eyes are glazing over and you paste account 21's note into account 17's record
  • You do not catch the error until a rep reads the wrong notes before a call the next day.

The fast version is one prompt before dinner.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

Field trip notes, typed fast on a phone or laptop, need cleanup before they go into the CRM.

When notes are in bullet point format instead of prose

The rep typed quick bullets from their meeting. Before logging, you want them formatted as a proper note.

For each row in "Call Notes," convert the bullet-point notes in column B into a short prose paragraph summarizing the meeting. Then create a Salesflare internal note with the cleaned text on the account in column A. Write the note_id to column C.

When some rows are missing note text

A few reps submitted their rows with just the account ID and a blank note column, intending to fill them in later.

For each row in "Call Notes," create the Salesflare note if column B has text. If column B is blank, write "MISSING NOTE" to column C and skip that row.

When you want to prefix each note with a standard header

Your team's CRM hygiene standard requires every field note to start with the date and trip name.

For each row in "Call Notes," prepend "Field Trip [trip name] — [today's date]: " to the note text in column B. Then create the Salesflare internal note on the account in column A and write the note_id to column C.

When you want to log the notes and create a follow-up task in the same prompt

Every account visited should get both a note and a follow-up task due in two weeks.

For each row in "Call Notes," create an internal Salesflare note with the text from column B on the account in column A. Write the note_id to column C. Then create a follow-up task on the same account due in 14 days with description "Post-field-trip follow-up." Write the task_id to column D.

The pattern: the notes sheet empties into the CRM in one prompt. The IDs come back as proof. The reps walk in tomorrow with the right context.
