Bulk-Create KPIs in SimpleKPI from a Spreadsheet Definition

The Scenario

You are a management consultant. You spent last week aligning with your client on their KPI framework: 40 KPIs spanning four business units, each with a name, description, measurement unit, and quarterly target. The definitions are in a Google Sheet. Your client's SimpleKPI account is empty.

The first data entry session is Monday. That means categories, units, and KPI definitions all need to be in SimpleKPI by end of day Friday.

The bad version of Friday:

  • Open SimpleKPI, click into KPI management, click "Add KPI"
  • Type the name, paste the description, pick the unit from a dropdown, enter the target, save
  • Repeat for KPI number 2
  • Realize you have 38 more to go at 11 minutes per KPI
  • You are still creating KPIs when Monday's session starts.

The Easy Way: One Prompt in SheetXAI

SheetXAI reads your definition sheet and creates every KPI in SimpleKPI in one pass, writing the new KPI IDs back into the sheet.

Open the SheetXAI sidebar and type:

Create a KPI in SimpleKPI for each row in this sheet using the name in column A, description in column B, unit ID in column C, and target value in column D. Write the new KPI ID back into column E.

SheetXAI creates all 40 KPIs and writes each returned KPI ID into column E. The sheet is now a definition-to-ID map you can use immediately for category assignments, user assignments, and first data entries.

What You Get

The ID map matters. Once you have column E filled, the next prompt can assign all 40 KPIs to categories and users without navigating the SimpleKPI UI at all.

What If the Data Is Not Quite Ready

Client KPI definition sheets come from PowerPoints, workshop notes, and half-finished spreadsheets. They are rarely ready to push directly.

When measurement units have not been created yet

Your client's units do not exist in SimpleKPI yet. You need to create them before the KPIs.

Read the unique unit names in column C of this sheet. Create each one as a new KPI unit in SimpleKPI and write the returned unit ID next to each name in a lookup range. Then use those IDs to create each KPI in column A through D. Write the new KPI ID into column E.

When descriptions are incomplete or missing

Half the KPI rows have descriptions, half are blank. SimpleKPI accepts blank descriptions, but you want something there.

For any row in this sheet where column B is blank, infer a one-sentence description from the KPI name in column A and the unit in column C. Write the inferred description into column B. Then create each KPI in SimpleKPI using name, description, unit ID, and target. Write the KPI ID into column E.

When targets differ by region

Your sheet has targets in columns D through G — one per region (AMER, EMEA, APAC, LATAM). You want one KPI per region with the correct target.

For each row in this sheet, create four KPIs in SimpleKPI — one per region — appending the region name to the KPI name in column A. Use the corresponding target from columns D, E, F, and G. Write all four returned KPI IDs into columns H through K.

When the full setup chain needs to run end-to-end

Your sheet has category names in column F and you want KPIs assigned to categories immediately after creation.

Create each KPI in SimpleKPI using name, description, unit ID, and target from columns A through D. Write the returned KPI ID into column E. Then assign each KPI to the SimpleKPI category matching the name in column F. Write "Assigned" or errors into column G.
