Combine Streamtime Org Details and Role Roster Into a Google Sheet for Onboarding Docs

The Scenario

You're the operations lead at a 35-person architecture firm. Someone from HR sent you a message this morning: two new project managers are starting Monday and need the firm's Streamtime onboarding materials by Friday.

The problem is that "onboarding materials" for Streamtime means three things: the firm's org ID and plan name (so new PMs can verify their access), the full list of defined roles (so they know which role to log time against), and something they can actually open without emailing you every five minutes. A single Google Sheet would do it. You don't have one.

Last time you did this, you opened Streamtime, copied the org details from the settings page, then navigated to roles and exported what you could, cleaned it up in a separate sheet, manually combined everything into one tab, and sent it. That was a month ago. You don't remember the exact steps and you have three other things due today.

The bad version:

  • Find the org ID and plan name in Streamtime's account settings — they're not on the main dashboard, you have to know where to look — and copy them somewhere temporary before you lose them
  • Navigate to roles, export the list, open the CSV, discover the column headers don't match what you want, rename them, remove the columns you don't need, and transfer everything to the onboarding sheet
  • Manually combine the org metadata row with the role table, check that nothing got misaligned, and then realize one of the rows has a blank ID because the export dropped it

The new PMs start Monday. The cognitive overhead of building this from scratch — again — is not proportional to the task.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads the sheet and through its Streamtime integration pulls both org metadata and role data in a single request — no separate exports, no manual merging.

Open the onboarding sheet and paste this:

Get our Streamtime organisation details and all roles, then write org name and ID into row 1 and the full role list — ID, name, active status — below that starting in row 3 on this sheet

What You Get

  • Row 1: org name and org ID from your Streamtime account settings
  • Rows 3 onward: the full role list with role ID in column A, role name in column B, and active status in column C
  • Row 2 left blank as a visual separator between the metadata header and the role table
  • All roles included — active and inactive — so new PMs can see the complete picture

What If the Data Is Not Quite Ready

The plan name isn't visible in the org details you pulled

Streamtime returns the org ID and name but the plan name isn't surfacing as expected.

Get Streamtime org details and write whatever fields are returned into row 1, labeling each cell with the field name above the value — so I can see exactly what the API returns and decide what to display

You need the role list filtered to only active roles for new PM onboarding

New PMs shouldn't see archived roles on their first day — it creates confusion about what to log time against.

Get Streamtime org details into row 1, then pull only active roles below that in rows 3+ with ID, name, and status — skip any role where active is false

The onboarding doc needs a second tab with just roles, formatted as a proper table

HR wants a clean roles-only tab alongside the combined reference tab.

Get all Streamtime roles and write them into the 'Role List' sheet with ID in column A, name in column B, active in column C, and format row 1 as a header row — then put org name and ID into cells A1 and B1 of the 'Reference' sheet

You want the full onboarding document built in one pass — org metadata, active roles, and an inactive roles archive tab

Get Streamtime org details and write org name and ID into row 1 of 'Reference', then pull all roles: write active roles into rows 3+ of 'Reference' and write all inactive roles into a separate 'Archived Roles' sheet with the same column structure — highlight the Archived Roles tab header in grey

One prompt replaces the three separate tasks you'd otherwise do manually.

Try It

Get the 7-day free trial of SheetXAI and open the Google Sheet you'd normally build manually for a new hire. Ask it to pull your Streamtime org details and full role roster in one shot. Then see the rate card spoke or return to the Streamtime hub overview for more examples.
