Export Stripe Credit Notes to a Google Sheet for Accounts Receivable Reconciliation

The Scenario

It's the last day of the quarter and your AR specialist is trying to close the books. She needs every credit note issued this year — linked invoice ID, customer email, credit amount, and memo — before she can confirm that accounts receivable is reconciled.

She opens Stripe. Credit notes are in the Invoicing section, but they're not a prominent feature — the link to the credit notes list is several levels deep. She finds it, and the list shows credit notes in a paginated view with no export button on this particular account tier. She'd need to click into each credit note to see the memo field, which doesn't appear in the list view.

The bad version:

  • Click through each of the 31 credit notes issued this year, record the linked invoice ID, customer email, amount, and memo into a sheet.
  • Discover that six credit notes share the same customer but different linked invoices, and manually verify which invoice each one belongs to.
  • Finish the data entry an hour before the books are supposed to close, with no time to double-check the totals.

Accounts receivable reconciliation at quarter close is not the right time to be doing manual data entry. The window for catching errors before the numbers get locked is already tight.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It connects to Stripe and pulls credit note records — including linked invoice IDs and memos — without requiring you to open each one individually.

List all Stripe credit notes and write credit note ID, linked invoice ID, customer email, amount, currency, and memo into Sheet1

What You Get

  • Sheet1 fills with one row per credit note: credit note ID, the ID of the invoice it was issued against, customer email, credit amount in the currency's major unit, currency code, and the memo text.
  • Credit notes with no memo appear with a blank in that column — they don't break the row.
  • The row count tells you total credit note volume for the period.

What If the Data Is Not Quite Ready

You want to filter to only this year's credit notes

List all Stripe credit notes issued this year and write credit note ID, linked invoice ID, customer email, amount, currency, and memo into Sheet1

You want a customer-level summary alongside the detail

List all Stripe credit notes from this quarter in Sheet1 with credit note ID, linked invoice ID, customer email, amount, currency, and memo — then write a summary on Sheet2 showing each customer and the total credit amount issued to them this quarter

You want to flag credit notes with no memo for follow-up

List all Stripe credit notes from this year in Sheet1 with credit note ID, linked invoice ID, customer email, amount, and memo — add column F that says 'memo missing' where the memo field is blank so the AR team knows which ones need documentation

The full kill chain — pull, group by customer, flag undocumented credits, and total in one shot

List all Stripe credit notes from this year in Sheet1 with credit note ID, linked invoice ID, customer email, amount, currency, and memo — flag credit notes with no memo in column G — write a customer summary on Sheet2 with total credits issued per customer and a grand total in Sheet2 cell B1 for the quarter-close reconciliation

The pattern: the detail, the grouping, the flags, and the totals all arrive before the books close.
