The Scenario
You are a team admin who just inherited a Tally workspace with 60 users. The previous admin left two weeks ago without documentation. You have no idea who has admin access, which users are still active employees, or how many pending invites are sitting in limbo.
HR sent you a Google Sheet with the current employee list this morning. Your job: cross-check Tally against the employee list, find anyone who should not have access, and flag the pending invites that can be cancelled.
The manual version:
- Log into Tally settings, navigate to the members section
- Read each email address and role, copy them into a Google Sheet by hand
- Also check the pending invites tab and copy those too
- Open the HR sheet and manually compare the two lists
- Lose track of which rows you have already checked by the time you get to user 35
- You hand your manager an incomplete list at the end of the day and promise to finish tomorrow.

The Easy Way: One Prompt in SheetXAI

The join date is the key data point for the cross-check. Users who joined before your company's founding date or after their listed termination date stand out immediately when you sort by join date.

When you need to cross-check Tally members against the HR employee list
HR gave you a list of active employees in column A of the HR tab. You want to flag anyone in Tally who is not on that list.
List all Tally organization members and write them to the Members tab with name, email, role, and join date. Then compare the email column against the Active Employees list in column A of the HR tab. Write "ACTIVE EMPLOYEE" into a Status column for matches and "NOT ON HR LIST" for anyone whose email does not appear in the HR tab.
When some members have the wrong role
The previous admin gave admin rights to five contractors who should be editors.
List all Tally organization members and write them to this sheet with name, email, role, and join date. Add a Review column: write "CHECK ROLE" for any user whose role is "admin" and whose email domain is not your company domain. Write "OK" for all others.
When pending invites have been sitting for more than 30 days
Old pending invites are often sent to people who have left or declined.
List all pending invites in my Tally organization. Write each to this sheet with invitee email, role, and invite date. Add a column called Age: calculate how many days ago the invite was sent and write that number. Flag any invite older than 30 days with "STALE" in a Status column.
When you need the full audit plus a recommended action per row
The security review requires a proposed action for each member and each pending invite.
List all Tally organization members and pending invites. Write them to this sheet with name or invitee email, role, join or invite date. Cross-check each member email against the Active Employees list in the HR tab column A. Write a Recommended Action column: "KEEP" for active employees, "REVIEW — NOT ON HR LIST" for anyone else. For pending invites older than 14 days, write "CANCEL INVITE." For newer invites, write "KEEP."
The pattern: the sheet becomes the access audit record. You can share it with your manager, sort by recommended action, and work through the list without ever going back to the Tally dashboard.
