Export Tave Payments to Google Sheets for Accounting

The Scenario

You are the accountant for a photography studio, hired on a contract basis for quarterly tax prep. It is late January and you need every payment recorded in Tave for the prior fiscal year — 820 payment records — in a single Google Sheet with job name, payment date, amount, method, and allocation status.

The studio owner gives you Tave access. You look for an export. There is a limited CSV option, but it does not include all the fields you need. The allocation status field is not in the export at all.

The bad version:

  • You download what you can from Tave's export
  • You open the CSV, find it is missing the payment method and allocation status columns
  • You start opening individual Tave jobs to pull the missing payment details by hand
  • After forty minutes you have thirty payments covered and 790 to go
  • You revise your estimate upward and send a new invoice before you even have the data.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that reads directly from Tave's API and writes the data into your sheet, so you do not have to work around CSV export limitations.

Open the SheetXAI sidebar and type:

List all payments from my Tave studio and write each to this sheet — include payment ID, job name, amount, payment date, payment method, and allocation status. Put the headers in row 1 and data starting in row 2.

SheetXAI calls the Tave API, pulls every payment record, and writes them into the sheet. You come back to 820 rows of payment data ready for the tax return.

What You Get

A complete payment export in your sheet:

  • Payment ID — the Tave identifier for cross-referencing
  • Job name — the associated job for each payment
  • Amount — the payment dollar amount
  • Payment date — exactly as recorded in Tave
  • Payment method — check, card, bank transfer, or cash
  • Allocation status — whether the payment has been applied to an order

Add a filter on allocation status and you immediately see which payments are unallocated. That is your first audit flag before you even open the tax software.

What If the Data Is Not Quite Ready

Tax prep exports need to be clean. SheetXAI handles filtering and formatting in the same prompt.

When you only need payments from a specific date range

You need fiscal year 2025 only — January 1 through December 31.

List all Tave payments with a payment date between January 1, 2025 and December 31, 2025. Write each to this sheet with payment ID, job name, amount, payment date, payment method, and allocation status. Sort by payment date ascending.

When you want payments grouped by method for the tax return

Your accountant wants check payments separate from card payments.

List all Tave payments for the prior fiscal year and write them to this sheet grouped by payment method. For each payment method group, add a header row and a subtotal of the amount column. Then list individual payments under each header.

When some payments are unallocated and you want them flagged

Unallocated payments need follow-up before the filing.

List all Tave payments from fiscal year 2025 and write them to this sheet. In column G, add a flag that says "UNALLOCATED — REVIEW" for any payment where the allocation status is not fully allocated. Sort unallocated payments to the top.

When you need a combined payments-and-orders summary for the full revenue picture

Your accountant wants total revenue, total collected, and outstanding balance per job — not just a list of payments.

Pull all Tave payments from fiscal year 2025 and write them to this sheet. Then for each unique job, calculate total order value, total payments received, and balance outstanding. Add a job-level summary section below the payment list with those three columns per job, sorted by balance outstanding descending.

The pattern: instead of working around what the CSV export gives you, you describe exactly what you need and SheetXAI gets it.
