Bulk Delete Offboarded Employee Records From Timelink Using a Google Sheet

The Scenario

It's end of week and you're the HR administrator wrapping up a contractor off-boarding event. Fifteen former contractors left the company over the past month. Their Timelink person IDs have been sitting in column A of your "Off-Boarded Contractors" tab — collected during the off-boarding process — and the records are still live in Timelink, cluttering the account and inflating your active-user count.

The bad version:

  • Open Timelink, search for the first person ID, click into the record, confirm the deletion
  • Repeat 14 more times across different pages of the interface
  • Realize halfway through that two IDs returned no result because they'd already been removed last quarter

What If the Data Is Not Quite Ready

When the IDs are mixed in with active employees on the same sheet

Delete Timelink person records only for rows in my "Staff" tab where column C says "Off-boarded" — use the person ID in column A for each of those rows.

When some IDs have a leading apostrophe or are stored as text with extra whitespace

For each person ID in column A of the "Off-Boarded" tab — strip any leading or trailing spaces and apostrophes first — then delete that person record from Timelink.

When you only want to act on records off-boarded before a specific date

Delete Timelink person records for every row in column A where column B shows an off-boarding date before April 1, 2026.

When you want it all in one shot

Look at the "Staff Master" tab. For every row where column D says "Off-boarded" and column E shows a date before April 1, 2026, take the person ID from column B, delete that Timelink record, and write "Deleted" or "Not found" into column F on the same row.
