Generate a Filtered Timely Report Into a Google Sheet

The Scenario

The board meeting is in three days. The CFO needs a report on resource utilization for Q1 — specifically, billable hours only, broken down by user, across all projects. She's asked for it in a Google Sheet so she can add her own commentary columns. Nobody in the room where you got this request knows exactly how to get it out of Timely.

The bad version:

  • Log into Timely, navigate to Reports, try to construct a filter that shows only billable events for Q1 across all users and projects
  • Export the result as a CSV, open it in Sheets
  • Discover the export includes non-billable entries because the filter didn't apply the way you expected — go back, adjust, re-export
  • Reformat the columns to match what the CFO's template expects

Board decks do not wait for export debugging sessions. The expectation is that you'll produce a clean, filtered sheet quickly — and every iteration on the Timely report filter eats into the time you needed for the actual analysis.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads your sheet and through its built-in Timely integration it can run a filtered report query and land the results directly into your sheet — without requiring you to navigate Timely's report builder at all.

Create a Timely report filtered to billable events only for Q1 2025, across all users and projects, and write the results into my Board Report tab with columns for user, project, hours, and date

What You Get

  • One row per billable time entry for Q1 2025, in the Board Report tab
  • Columns: user name, project name, hours (decimal), date
  • Only billable entries — non-billable internal time is excluded at the query level, not filtered out after the fact

What If the Data Is Not Quite Ready

You need entries filtered by a specific tag rather than just billable status

Generate a Timely report for all events tagged as Client Work in Q1 2025 and paste the results into my Board Report tab with user, project, hours, and date — include only billable entries

You need a summary by user rather than individual entries

Pull a Timely report for billable events in Q1 2025, filter to the last 30 days, and write a summary into my Board Report tab — one row per user showing their name, total billable hours, and percentage of company-wide billable hours

You need to join the Timely data against a client rate table

Pull all billable Timely events for Q1 2025 into my Board Report tab — then look up each project's client rate from the Rates tab and calculate the billable revenue per row in column F, with a grand total at the bottom

Full board-ready report in one pass

Pull all billable Timely events for Q1 2025 into my Board Report tab — group by project, calculate total billable hours and revenue per project using rates from the Rates tab, sort by revenue descending, and add a total row at the bottom

The pattern: the filter, the pull, and the summary calculation belong in one ask so the sheet is presentation-ready when the data arrives.
