Create a Consistent Trello List Structure Across Boards From a Google Sheet

The Scenario

A Scrum master needs to create a standardized Kanban structure on 10 new Trello project boards before the team kicks off next sprint. Every board should have the same 6 lists in the same order. The list names are defined in a template spreadsheet. The boards already exist — they're just empty.

The bad version:

  1. Open the first board, click "Add a list," type the name, hit enter, repeat for each of the six lists.
  2. Do the same for the next 9 boards.
  3. Mistype "Code Review" as "Code Reveiw" on board 4 and not notice until someone raises a question during standup.

Ten boards times six lists is 60 list creations. Consistency across all of them requires zero typos and no positional mistakes. That's not achievable by hand at the pace a sprint launch requires.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads list names from your template column and board IDs from another, then creates the list structure on every board in one operation — names, order, and all.

Put board IDs in column A and list names in columns B through G of your sheet, then paste:

For each board ID in column A of this sheet, create Trello lists with the names in columns B through G in that order.

What You Get

  • Six lists created on each board in exactly the order specified in columns B through G.
  • Names are pulled directly from the sheet — no transcription, no typos.
  • All 10 boards receive the identical structure in one operation.

What If the Data Is Not Quite Ready

You have the list names in a single column and the board ID in a cell

Read the list names from column A of this sheet and create them in order on the Trello board ID in cell B1.

Different boards should get different list sets

For each row in this sheet, create Trello lists on the board ID in column A using the list names from columns B through G. Different rows can have different list names.

You need to verify the list structure was created correctly after the fact

For each board ID in column A of this sheet, fetch its current lists and write the board ID and list names into a results tab so I can confirm the structure matches the template.

Full sprint setup in one shot

Create a new Trello board for each project name in column A of this sheet in the organization ID from cell D1. Then create lists named Backlog, Ready, In Progress, Code Review, QA, and Done on each new board in that order. Write the new board ID and URL into columns B and C.

The pattern: define the structure once in the sheet, apply it everywhere with a single prompt — so every board starts identical.
