Reorganize Typeform Forms Across Workspaces Using a Mapping Sheet

The Scenario

You are a Typeform account admin at a company that just completed a rebrand and internal restructuring. The Typeform account has forty forms spread across five workspaces, but the workspace assignments are a mess. Half the forms landed in the wrong workspace when teams merged.

You have a Google Sheet with the mapping:column A is the form ID, column B is the target workspace name that form should belong to.

It is Monday. The new org structure goes live Wednesday, and leadership wants the Typeform account to match it.

The slow version:

  • You open Typeform's admin panel and start dragging forms between workspaces
  • The UI lets you move one form at a time
  • You cannot easily confirm a form ended up in the right workspace after the move
  • You work through half the list on Monday and forget where you stopped
  • On Wednesday you realize four forms are still in the wrong workspace
  • You discover this during the all-hands when someone shares a form from the wrong team's workspace.

The Easy Way: One Prompt in SheetXAI

Get all workspaces in my Typeform account and resolve the workspace names in column B to workspace IDs. For each form ID in column A, update it to belong to the workspace named in column B. Write the workspace ID used and "Moved" or "Failed" into columns C and D.

The sheet is the audit trail. If leadership asks "was form ID abc123 moved to the Client Success workspace?", you show them column D.

What If the Data Is Not Quite Ready

Workspace reorganizations have edge cases. SheetXAI handles them in the same prompt.

When the workspace name in column B does not exactly match the Typeform account

Column B says "Client Success" but the actual workspace is named "Client Success Team." The name resolution fails.

Get all workspaces in my Typeform account and list their names and IDs in a tab called Workspaces. Then try to match each workspace name in column B to the closest workspace in the account. Write the matched workspace name into column C, the ID into column D, and move the form. If no match is found, write "No match" in column C and skip the move.

When some forms should not be moved, only verified

Not all rows in the sheet require a move. Some are already in the right workspace and you just want confirmation.

For each form ID in column A, check the current workspace assignment. If the current workspace matches the target workspace in column B, write "Already correct" in column C. If it does not match, move it and write "Moved" in column C.

When the sheet has workspace IDs in column B instead of names

The person who built the sheet used workspace IDs directly. You can skip the name resolution step.

For each form ID in column A, update the form's workspace to the workspace ID in column B. Write "Moved" or "Failed" into column C.

When you need to create a missing workspace before moving forms into it

The "Operations" workspace does not exist yet. Several forms in the sheet are targeted at it.

Get all workspaces in my Typeform account. If the workspace named in column B does not exist, create it. Then move the form ID in column A to that workspace. Write "Workspace created + Moved," "Moved," or "Failed" into column C.
