Export Zendesk Group Memberships Into a Google Sheet

The Scenario

The support restructure starts next Monday. Before any routing rules change, the ops lead wants a complete matrix of which agents are in which groups — all 1,200 memberships — so the team can validate that the new routing configuration will work the way it's supposed to.

Currently, the only way to see this in Zendesk is to click into each group individually and look at the member list. There are 28 groups.

The bad version:

  • Open Zendesk Admin, navigate to Groups.
  • Click group 1. Note the members. Go back.
  • Click group 2. Note the members.
  • At group 14, realize you've been capturing agent names but not agent emails, which the routing validator actually needs.

Pre-restructure validation is exactly the kind of task where getting the wrong data is more dangerous than getting no data at all. If the routing rules are built on an incomplete agent-group matrix, the restructure starts broken.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Google Sheet. It uses the Zendesk integration to pull every group membership in one operation.

Open the SheetXAI sidebar in your routing validation sheet and paste:

Export all Zendesk group memberships into this sheet with columns for group ID, group name, user ID, user name, and user email

What You Get

  • One row per group membership — 1,200 rows if there are 1,200 memberships.
  • Group ID, group name, agent user ID, agent name, and agent email in the five columns.
  • Default membership status included so you can see which group is each agent's default routing group.

The complete routing matrix, ready for validation.

What If the Data Is Not Quite Ready

You only want memberships for a specific subset of groups

Export Zendesk group memberships for the groups 'Tier 1 Support', 'Tier 2 Support', and 'Enterprise Support' — write group ID, group name, agent name, and agent email to this sheet

Scoped to the groups that matter for the restructure.

You want a pivot-style view with one row per agent and groups listed as columns

Export all Zendesk group memberships and write one row per agent to this sheet — agent name in column A, agent email in column B, and each group name as a separate column with 'Y' if the agent is a member and blank if not

Pivot layout for the routing validator tool.

You need to flag agents who are in more than three groups

Export all Zendesk group memberships to this sheet with agent name, agent email, and group name. On a second tab, list any agent who belongs to more than 3 groups — show their name, email, and the count of groups they're in

Multi-group agents flagged for review in a separate tab.

Full routing validation package

Export all Zendesk group memberships to the 'Memberships' tab — group ID, group name, agent user ID, agent name, agent email, and default status. On the 'By Group' tab, write each group name and a count of its members. On the 'By Agent' tab, write each agent's name, email, and list of groups they belong to

Three tabs, complete routing picture — one prompt, validation-ready before Monday.
