Export a BreatheHR Department Absence and Bonus Summary to Excel

The Scenario

You are the engineering department head. You manage 20 people. Your skip-level review is Monday at 10 AM. The VP wants to see absence totals and bonus payments for your team for the year so far.

BreatheHR has both. You have never pulled a combined absence-and-bonus report before. You know they live in different sections of the system.

The bad version:

  • Pull the absence report for Engineering from BreatheHR, January to April
  • Export it as CSV
  • Pull the bonus report for Engineering
  • Export that separately
  • Import both CSVs into two tabs of your workbook
  • Build a combined summary tab with one row per employee
  • Discover that the two exports use different employee name formats
  • Fix the mismatch manually
  • Calculate total absence days and total bonus per employee using SUMIF
  • It is Sunday evening and you are doing spreadsheet work you expected to take twenty minutes.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI pulls both absence and bonus data from BreatheHR and builds the combined summary in one pass.

Open the SheetXAI sidebar and type:

Pull all absences and bonuses from BreatheHR for employees in the Engineering department for January 2026 to April 2026. Build a summary table in the Summary tab with one row per employee showing employee name, total absence days, and total bonus amount received in the period. Sort by employee name.

SheetXAI calls BreatheHR for absence records and bonus records, joins them by employee, totals each, and writes the summary into the Summary tab. One prompt, Monday morning covered.

What You Get

A clean summary in the Summary tab:

  • Employee name — one row per Engineering team member
  • Total absence days — all absence types combined for January–April
  • Total bonus amount — all bonuses paid in the period, totalled per employee

The VP sees the picture without you explaining how you built it. Clean headers, one row per person, sorted alphabetically.

If you want absence broken out by type, or the bonus history instead of a total, add that to the prompt. Same call, more detail.

What If the Data Is Not Quite Ready

Summary tables for management reviews need more than raw numbers. SheetXAI adds the framing inline.

When you want absence type breakdown instead of a combined total

Total absence days do not tell you whether it is holiday, sick leave, or something else.

Pull absences for the Engineering department from January to April into the Summary tab. Break total absence days into three columns: holiday days, sick leave days, and other days. Add total bonus per employee in a separate column.

When some employees have no bonuses and the VP wants that flagged

The VP wants to know explicitly who received no bonus payment this year.

Pull absences and bonuses for Engineering, January to April, into the Summary tab. For employees with zero bonus payments, write "No bonus paid" in the bonus column. Flag any employee with more than 10 absence days in a "Note" column.

When the review expanded to cover multiple departments

The VP added Finance and Product to the agenda.

Pull absences and bonuses from BreatheHR for the Engineering, Finance, and Product departments for January to April 2026 into the Summary tab. One row per employee, with department, total absence days, and total bonus. Sort by department, then by employee name.

When the VP wants absence, bonus, salary, and tenure in one view

The skip-level is turning into a broader compensation conversation.

Pull absence totals, bonus totals, current salary, and company join date from BreatheHR for every Engineering employee into the Summary tab. Calculate tenure from join date to today. One row per employee. Sort by tenure descending so the most senior people are at the top.

The pattern: instead of building the combined view from separate CSV exports, you describe the management table you need and SheetXAI assembles it from BreatheHR in one pass.
