You are a business development manager. The board approved the new services line last week and you now have 40 qualified prospects in an Excel workbook, sourced from a LinkedIn outreach campaign. Columns: deal name, estimated value, party name, notes.
Your target: every one of those 40 prospects entered into Capsule CRM as an opportunity at the Proposal milestone, ready for the team to assign owners and start working, before Monday's kickoff call.
It is Friday afternoon.
The bad version of Friday:
- You open Capsule and start creating opportunities manually
- The Capsule CSV import does not support setting a milestone on import — you would have to update each one after
- You enter twelve deals, lose your place, re-open the workbook to check the next row
- Someone sends you a Teams message. You come back and enter the wrong value for the next deal.
- You finish 25 of 40 before giving up and deciding to do the rest on Monday.
Monday's kickoff call starts with half the pipeline missing.

What If the Data Is Not Quite Ready
Qualified-lead workbooks from outreach campaigns are rarely clean.
When deal names have duplicates from multiple outreach threads
The same prospect appears twice because two reps worked the same LinkedIn search independently.
Deduplicate rows in this workbook by party name in column C — keep the row with the higher value in column B. Then create a Capsule CRM opportunity for each remaining row at the Proposal milestone. Write the opportunity ID to column D.
When values are in mixed currencies
Some deals are in USD, some in GBP, some blank. You want them all standardised to GBP before they go into Capsule.
Normalise the values in column B to GBP using today's exchange rates. Where the value is blank, set it to 0. Then create a Capsule CRM opportunity for each row at the Proposal milestone, using the normalised value. Write the opportunity ID to column D.
When some party names do not exist in Capsule yet
A handful of prospects are brand new — they are not in Capsule as parties yet.
For each row in this workbook, check if a Capsule CRM party exists for the name in column C. If not, create the party first using column C as the name and any email in column E. Then create the opportunity at the Proposal milestone. Write the opportunity ID to column D.
When you want each opportunity scoped by deal size before entering Capsule
Small deals go in at Qualified, medium at Proposal, large at Negotiation.
For each row: if the value in column B is under £5,000 set the milestone to Qualified; if between £5,000 and £20,000 set to Proposal; if above £20,000 set to Negotiation. Create a Capsule CRM opportunity for each row with the appropriate milestone. Write the opportunity ID and the milestone used to columns D and E.
