Bulk Import Leads from an Excel Workbook into Follow Up Boss

The Scenario

You are a real estate team leader. Your team ran four open houses last weekend and collected sign-in sheets for a combined 90 prospects. A coordinator digitized everything into an Excel workbook, the Leads tab: first name, last name, email, phone, and which property they visited.

The leads need to be in Follow Up Boss by noon so agents can start their follow-up sequences. It is 9:45 AM.

The bad version of this morning:

  • The coordinator opens Follow Up Boss and clicks "Add Lead" one at a time
  • Thirty contacts in, she is on row 31 of 90 and has been at it for 45 minutes
  • She miskeys an email on row 44 and does not notice until the bounce
  • The last 20 leads do not get the "Open House" source tag because she forgot to set the default
  • Agents start calling leads who are not in the system yet

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that reads the rows and creates Follow Up Boss lead events for each one, so your coordinator does not have to click through the CRM 90 times.

Open the SheetXAI sidebar and type:

Create a Follow Up Boss lead event for each row in the Leads tab — column A is first name, B is last name, C is email, D is phone, E is the property address they visited. Tag the source as "Open House" for every lead. Write the Follow Up Boss person ID back into column F for each row.

SheetXAI reads the Leads tab, creates a lead event per row in Follow Up Boss, and writes each person ID back into column F. Ninety contacts, all tagged, person IDs in the workbook.

What If the Data Is Not Quite Ready

Open house sign-in data is never clean. All-caps names from scanned forms, missing phone numbers, duplicate emails from couples who both signed in. SheetXAI handles it.

When names are inconsistently formatted

Half the rows have all-caps last names. The other half are title-case.

Normalize all names in columns A and B of the Leads tab to title case. Then create a Follow Up Boss lead event for each row using the normalized names, with source tagged as "Open House", and write person IDs into column F.

When some rows are missing phone numbers

Fifty contacts gave email only. You still want them imported with a note so agents know not to attempt a call.

Import every row from the Leads tab as a Follow Up Boss lead with source "Open House". For rows where column D is blank, add a note to the lead that says "No phone — email only". Write person IDs into column F.

When the same person signed in at two properties

You have duplicate emails across properties. You do not want two lead records for the same person.

Before importing, find all rows in the Leads tab where the email in column C appears more than once. For duplicates, keep only the first occurrence and write "DUPLICATE — skipped" into column F for the others. Then import the deduplicated rows with source "Open House".

When you also need to apply action plans by property

Each property had a different agent host, and each agent wants their own follow-up sequence.

Create a Follow Up Boss lead event for each row in the Leads tab with source "Open House". After creating each lead, apply the action plan whose ID is in the ActionPlanID column (column G) to that person. Write person IDs into column F and confirm action plan applied in column H.

The pattern: instead of cleaning the workbook first and then importing manually, you ask for both in one prompt. The coordinator is done before the 10 AM stand-up.
