Export All Klipfolio Klips to an Excel Workbook for a Dashboard Migration Audit

The Scenario

You are a BI consultant. You are auditing a client's Klipfolio account before a platform migration. Your deliverable is a dependency map: all Klips with their IDs, creation dates, and dashboard assignment status.

The client estimates somewhere between 50 and 200 Klips. The migration vendor is waiting on the inventory before they can start scoping.

The slow version:

  • Open the Klipfolio Klips panel
  • Read each Klip name and ID from the list
  • Check dashboard assignment by clicking into each Klip
  • Type everything into an Excel workbook row by row
  • Lose count around Klip 65
  • The migration scope call happens without a complete inventory because the audit took a full week.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that calls the Klipfolio Klips API and writes the full inventory, so you never have to click through the Klips panel.

Open the SheetXAI sidebar and type:

List all Klips in my Klipfolio account and write each Klip's ID, name, and creation date into columns A, B, and C of this workbook. In column D, note whether each Klip is assigned to any dashboard — write "ASSIGNED" or "UNASSIGNED."

SheetXAI calls the Klipfolio Klips API, iterates through the full list, and writes every Klip with ID, name, creation date, and assignment status. The inventory is complete.

What You Get

A complete Klip inventory in the workbook:

  • Column A — Klip ID
  • Column B — Klip name
  • Column C — creation date
  • Column D — "ASSIGNED" or "UNASSIGNED"

Unassigned Klips are immediately visible. Filter column D to "UNASSIGNED" and you have the orphaned Klip list the migration team wants to clean up first.

What If the Data Is Not Quite Ready

Klip inventories need annotation for migration work. SheetXAI handles it in the same prompt.

When you need to flag legacy Klips

The client wants to identify Klips created before a certain date that might reference deprecated sources.

List all Klipfolio Klips with ID, name, and creation date in columns A, B, and C. Flag any Klip created before January 1, 2023 as "LEGACY REVIEW" in column D. Leave column D blank for newer Klips.

When you need Klips grouped by data source

The dependency map needs to show which data sources each Klip references.

List all Klipfolio Klips with ID and name in columns A and B. For each Klip, fetch the data source it references and write the data source name into column C. Sort rows by column C so Klips sharing a data source are grouped.

When you need to identify low-usage assigned Klips

The audit should surface Klips on dashboards nobody views.

List all Klipfolio Klips with ID, name, and creation date. For assigned Klips, fetch the dashboard they belong to and its last viewed date. Write the dashboard name in column D and last viewed date in column E. Flag dashboards not viewed in 90+ days in column F as "LOW USAGE."

When you need the full inventory plus a summary for the migration vendor

The vendor's intake form asks for total count, assigned count, and unassigned count.

List all Klipfolio Klips into the Klip Inventory tab with ID in column A, name in column B, creation date in column C, and assignment status in column D. In the Summary tab, write the total Klip count, count of assigned Klips, and count of unassigned Klips.

The pattern: one prompt produces the complete migration deliverable.
