The Scenario
You are a content marketer. You have been sending Mailcoach newsletters for eight months and you genuinely do not know which subject line style drives opens. Long and descriptive? Short and punchy? Question-based?
The data is in Mailcoach. What you need is an Excel workbook with the last 15 campaigns ranked by open rate, with click rate and unsubscribe rate alongside, so you can see the pattern.
The slow version:
- Open the Mailcoach dashboard
- Click into each campaign one by one and note the stats
- Type them into the workbook manually, campaign by campaign
- Build the rank formula yourself
- Realize you forgot to grab the send date and go back through the campaigns again
- You spend forty minutes on data entry before any analysis happens.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your Excel workbook that reads Mailcoach and writes the data directly into your workbook.
Open the SheetXAI sidebar and type:
List all Mailcoach campaigns from the past 90 days and for each one write the name, subscribers sent to, unique opens, and unique clicks into this workbook — sort by open rate descending.
SheetXAI calls the Mailcoach campaigns API, retrieves the sends, writes the raw numbers into the workbook, adds open rate and click rate columns, and sorts. You see the ranking immediately.
What You Get
A ranked campaign comparison table with one row per send:
- Campaign name and send date — what went out and when
- Open count, click count, bounce count, unsubscribe count — the raw Mailcoach figures
- Calculated open rate and click rate — derived from subscriber counts, not platform-rounded
- Sorted by open rate descending — your best campaign at the top
Once you have the table, you can ask SheetXAI to highlight patterns, group by subject line type, or add a commentary column with observations per row.
What If the Data Is Not Quite Ready
Campaign stat pulls are usually clean, but the analysis layer often needs nuance. SheetXAI handles both in one prompt.
When you want to extend the window past 90 days
You want to see a full year of performance, not just the last quarter.
Fetch all Mailcoach campaigns from the past 12 months. Write name, send date, subscribers sent to, unique opens, and unique clicks into this workbook. Add open rate and click rate columns. Sort by open rate descending.
When you want to group by campaign label or type
Your subject line convention uses prefixes. You want separate ranked views for each prefix group.
Fetch all campaigns from the past 6 months. Group them by the first word of the campaign name. Create one tab per group with a ranked table inside. Sort each tab by open rate descending.
When you want to flag statistical outliers
You want a column marking campaigns that were significantly above or below average open rate.
Fetch the 20 most recent campaigns, calculate the average open rate, then add a column flagging any campaign more than 5 percentage points above or below average as "Outlier." Write the full table sorted by send date.
When you want the data plus a written interpretation
You want the ranked table but also a written summary naming the top 3 and bottom 3 sends.
Fetch the last 15 Mailcoach campaigns, write the stats table sorted by open rate descending, then below the table write a short analysis paragraph naming the top 3 and bottom 3 campaigns and identifying any common pattern in the subject lines.
The pattern: the data pull and the analysis happen in the same prompt. You do not export first and think second.
