The Scenario
You are a content marketer. You have been sending Mailcoach newsletters for eight months and you genuinely do not know which subject line style works. Long and descriptive? Short and punchy? Question-based? You have a gut feeling but no data.
The data exists in Mailcoach. What you need is a Google Sheet with the last 15 campaigns ranked by open rate, with click rate and unsubscribe rate alongside it, so you can see the pattern.
The slow version:
- Open the Mailcoach dashboard
- Click into each campaign one by one and note the stats
- Type them into a sheet manually, campaign by campaign
- Build the rank formula yourself
- Realize you forgot to grab the send date and go back through the campaigns again
- You spend forty minutes doing data entry before any analysis happens.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your spreadsheet that reads Mailcoach and writes the data directly into your sheet.
Open the SheetXAI sidebar and type:
Fetch the 15 most recent campaigns from Mailcoach and write campaign name, send date, open count, click count, unsubscribe count, and bounce count into this sheet — then add calculated open rate and click rate columns and sort by open rate descending.
SheetXAI calls the Mailcoach campaigns API, retrieves the last 15 sends, writes the raw numbers into the sheet, adds the calculated columns using the subscriber counts as denominators, and sorts the rows. You see the ranking immediately.
What You Get
A ranked campaign comparison table with one row per send:
- Campaign name and send date — what went out and when
- Open count, click count, bounce count, unsubscribe count — the raw Mailcoach figures
- Calculated open rate — opens divided by subscribers sent, as a percentage
- Calculated click rate — clicks divided by opens
- Sorted by open rate descending — your best-performing campaign at the top
The open rate column is calculated from the actual subscriber count, not a platform-rounded figure. If Mailcoach gave you 312 opens and 1,840 subscribers, you see 16.96%, not a rounded number.
Once you have the table, you can ask SheetXAI to highlight patterns, group by subject line type, or add a commentary column with observations per row.
What If the Data Is Not Quite Ready
Campaign stat pulls are usually straightforward, but the analysis layer often needs more nuance. SheetXAI handles both in one prompt.
When you want more than 15 campaigns
You have 60 sends in Mailcoach and want to see the full picture, not just the recent ones.
Fetch all Mailcoach campaigns from the past 90 days and write name, send date, subscribers sent to, unique opens, and unique clicks into this sheet. Add open rate and click rate columns. Sort by open rate descending.
When you want to group by campaign tag or type
You label some campaigns "promotional" and others "editorial." You want separate ranked tables for each.
Fetch all campaigns from the past 6 months. Group them by the campaign name prefix — anything starting with [PROMO] goes into a Promo sheet, anything starting with [EDITORIAL] goes into an Editorial sheet. Rank each group by open rate and write the tables.
When you want to flag outliers
You want to see not just the ranking but which campaigns were significantly above or below your average open rate.
Fetch the 20 most recent campaigns, calculate the average open rate across all 20, then add a column flagging any campaign more than 5 percentage points above or below that average as "Outlier." Write the full table sorted by send date.
When you want the raw numbers plus a written summary
You want the table but also a short written interpretation of the top 3 and bottom 3 so you have something to share with the team.
Fetch the last 15 Mailcoach campaigns, write the stats table sorted by open rate descending, then below the table write a short analysis paragraph naming the top 3 and bottom 3 campaigns and identifying any common pattern in the subject lines.
The pattern: the data pull and the analysis happen in the same prompt. You do not export first and think second.
