The Scenario
You are a growth marketer. The quarterly campaign review is in two days. Your head of sales wants an Excel workbook listing all active Mixmax sequences with their names, stage counts, and active recipient counts so the team can decide which sequences to retire and which to scale.
You have been running Mixmax sequences for six months. You have no idea how many there are or what state most of them are in.
The bad version of this situation:
- You open Mixmax's sequence list in the UI
- You start copying sequence names, stage counts, and recipient numbers into the workbook by hand
- By the fifth sequence you realize you have no way to see active recipient count from the list view
- You click into each sequence to get the number
- There are twenty-three sequences
- You walk into the quarterly review with twelve sequences documented and eleven left.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your Excel workbook that reads the data and calls Mixmax directly, so you do not have to click through twenty-three sequence detail pages.
Open the SheetXAI sidebar and type:
List all Mixmax sequences and put sequence name, ID, and stage count into this workbook. Add a column for active recipient count if available. Sort by stage count descending.
SheetXAI pulls the full sequence list from Mixmax, writes every sequence into the workbook, and sorts by stage count so you can see which sequences are most complex at a glance.
What You Get
A complete sequence inventory, ready for the review:
- Sequence name — the label you gave it in Mixmax
- Sequence ID — for any API work your ops team needs to do
- Stage count — how many steps are in the sequence
- Active recipient count — how many contacts are currently moving through it
The complete list is the thing you could not get from the UI in under an hour. You walk into the quarterly review with all twenty-three sequences documented. Not twelve.
Want to add a column flagging sequences with zero active recipients as candidates for retirement? Tell SheetXAI to add that column. It adjusts.
What If the Data Is Not Quite Ready
Sequence data from Mixmax can come back with more fields than you need, or need reshaping before it is review-ready.
When you only want active sequences
Some sequences are paused or archived. You want only the ones currently running.
List all Mixmax sequences that are currently active. Write sequence name, ID, stage count, and active recipient count into this workbook. Skip paused or archived sequences.
When you want to cross-reference with a specific email domain
You are reviewing one target account's sequence coverage and want to know which sequences contain recipients from @targetcompany.com.
Search Mixmax for all sequence recipients with email domain @targetcompany.com. Write their email, sequence name, and current status into this workbook.
When you need the sequence list grouped by owner
Different reps own different sequences. You want to see the breakdown by owner before the review.
List all Mixmax sequences and write sequence name, ID, stage count, active recipient count, and owner email into this workbook. Sort by owner email ascending so each rep's sequences are grouped together.
When you need the full audit in one shot
You want the complete sequence list, a summary by owner, and a flag for sequences with no active recipients, all before the 9 AM quarterly review.
List all Mixmax sequences. Write sequence name, ID, stage count, active recipient count, and owner email into the Sequences tab. In the Summary tab, write one row per owner showing how many sequences they own and total active recipients. Add a Retire flag in the Sequences tab for any sequence with zero active recipients.
The pattern: instead of clicking through each sequence to build the picture, you describe the picture and SheetXAI assembles it from the Mixmax API in one pass.
Try It
Get the 7-day free trial of SheetXAI and open any reporting workbook, then ask it to pull your Mixmax sequence list. The Mixmax integration is included in every SheetXAI plan. For engagement data, see how to export Mixmax livefeed data into Excel or the Mixmax in Excel overview.
