What If the Data Is Not Quite Ready
Company bios scraped from LinkedIn are inconsistent. SheetXAI cleans them before sending to PhantomBuster AI.
When the bios are in inconsistent formats
Some rows are full paragraphs, some are keyword lists, some are fragments lifted from the LinkedIn About section.
For each row in the Raw Bio column, normalize the company description into two clean sentences before sending to PhantomBuster AI with the instruction 'Summarise in one sentence for a cold email subject line:' and write the result into column C.
When you want to vary the instruction by company size
Small companies get a different tone in the subject line than enterprise accounts.
For each row in the Raw Bio column, check if the bio mentions enterprise, Fortune 500, or large-scale. If yes, send to PhantomBuster AI with 'Write a formal one-sentence cold email subject line:'. If no, use 'Write a direct, punchy one-sentence cold email subject line:'. Write the result into column C.
When some bios are too short to be useful
A batch of 5 rows have bios under 10 words. The AI cannot produce a meaningful subject line from "SaaS startup. Series B."
For each row in the Raw Bio column, if the bio is under 15 words, write TOO SHORT in column C and skip the AI call. For all other rows, send to PhantomBuster AI with the summarize instruction and write the result into column C.
When you need to normalize bios, generate subject lines, and grade them for length in one go
The campaign manager wants a ready-to-use file, not raw AI output.
For each row in the Raw Bio column, normalize the bio into two clean sentences. Send the normalized version to PhantomBuster AI with 'Summarise in one sentence for a cold email subject line, under 20 words, direct tone:'. Write the result into column C. In column D, write SHORT if the subject line is under 8 words, GOOD if 8-20 words, LONG if over 20 words.
