Export ProAbono Feature Usage and Quota Data to Excel

The Scenario

You are a customer success manager. It is the last week of the month and you have 300 active customers on a plan that includes an "API calls" feature with a monthly quota.

You need to know which customers are at risk of hitting their limit before the month resets, so you can reach out proactively. You need customer reference, current usage, quota limit, and remaining calls in an Excel workbook. Your manager wants the flagged accounts list by Wednesday.

The bad version:

  • You open ProAbono and check feature usage per customer, one at a time
  • You copy numbers into Excel for 30 customers before you give up
  • You ask engineering to write a script, they say they can get to it next week
  • You send your manager a partial list covering about 10% of the customer base
  • Three accounts hit their limit over the weekend and blame you for not warning them.

The Easy Way: One Prompt in SheetXAI

In column E, flag any customer where remaining quota is less than 10% of the limit with "AT RISK." Sort so AT RISK rows appear first.

What If the Data Is Not Quite Ready

Feature usage analysis has its own edge cases. SheetXAI handles them in the same prompt.

When the feature code varies across plan tiers

Some customers are on plans where the API feature is called "api_calls_v2" instead of "api_calls."

Get ProAbono feature usage for all customers for feature codes 'api_calls' and 'api_calls_v2'. Treat them as the same feature. Put customer reference, current usage, quota, and remaining into columns A–D of the Usage tab. Flag customers under 10% remaining in column E.

When you want to filter to just the highest-value accounts

You only have time to call 50 customers, so you need to prioritize by plan tier.

Get ProAbono feature usage for the 'api_calls' feature. Filter to customers on the "Enterprise" or "Growth" offer only. Sort by remaining quota ascending so the most at-risk enterprise accounts are at the top. Write results into the Usage tab.

When you need to group accounts by their assigned CSM

Your team of four CSMs each own a subset of accounts and should only see their own at-risk list.

Get ProAbono feature usage for all customers for the 'api_calls' feature. For each customer, look up the assigned CSM in column A of the CSM Assignments tab. Group the results by CSM name and write each group to a separate tab in this workbook.

When you need to combine quota risk with invoice status for a full health score

Your CS team wants a single view: API quota risk plus whether the account has an overdue invoice.

Get ProAbono feature usage for the 'api_calls' feature for all customers. For each customer, also check if they have any unpaid invoices older than 15 days. Write customer reference, remaining quota percentage, and overdue invoice status into columns A, B, and C of the Usage tab. Flag customers who are both at-risk on quota AND have an overdue invoice as "CRITICAL" in column D.
