Export Raisely Donor Interaction History to an Excel Workbook for Stewardship

The Scenario

You are a major gifts officer. End-of-year stewardship push starts Monday. You have 20 top donors in an Excel workbook — the people your organization plans to call personally this week.

Before you call anyone, you want every touchpoint in their history: calls, emails, events, notes. Raisely stores these as "interactions" on each donor profile. You need them laid out chronologically so you can walk into each conversation knowing the full history.

The slow version of Friday afternoon:

  • Open Raisely, navigate to the first donor's profile
  • Click through to their interaction history, read and take notes
  • Go back, find the second donor, repeat
  • Twenty donors, some with a dozen interactions, some with two, all in individual profile pages
  • By 5 PM you have read eight. You go into Monday half-prepared.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI reads each donor UUID from the workbook, fetches their interaction history from Raisely, and writes it chronologically into the spreadsheet.

Open the SheetXAI sidebar and type:

For each donor UUID in column A of the Donors tab, fetch all Raisely interactions and list category, date, and notes for each interaction in rows below the donor's name. Group by donor with a blank row between each donor's block.

SheetXAI fetches interaction history for all 20 donors and lays it out in the workbook. You scroll through the full history for every donor instead of clicking through 20 profile pages.

What You Get

A chronological interaction log per donor in the Donors tab:

  • Donor name as a header row — with a blank row separating each donor block
  • Interaction category — call, email, event, note
  • Date — chronological, oldest to newest
  • Notes — exact content from Raisely

All interactions for all 20 donors in one workbook tab.

What If the Data Is Not Quite Ready

Interaction history from a real database has gaps and enrichment needs.

When you only want interactions from the last 24 months

Long-tenured donors have history going back years. You want to focus on what is recent.

For each donor UUID in column A of the Donors tab, fetch Raisely interactions from the last 24 months only. Write category, date, and notes chronologically below each donor name.

When you need to flag donors with no recent interaction

Some donors on the list may have fallen through the cracks. Flag anyone with no logged interaction in the last 12 months.

For each donor UUID in column A, fetch all interactions. Write the full interaction log below each donor name. In column B next to each donor name row, write the date of the most recent interaction. Flag 'Long Lapse' in column C if the most recent interaction is over 12 months ago.

When notes contain specific keywords to surface

Some notes flag a specific ask — "Endowment" or "Building Fund" — you need to pick up on.

For each donor UUID in column A, fetch all interactions and write them chronologically. In column B next to each interaction row, mark 'FLAG' if the notes field contains 'Endowment' or 'Building Fund'.

When the calling sheet needs giving history alongside interactions

Your preparation sheet should include each donor's total giving and most recent donation above their interaction log.

For each donor UUID in column A of the Donors tab, fetch total giving amount and most recent donation date from Raisely. Write those as a summary row below the donor name. Then fetch all interactions from the last 24 months and write them chronologically below the summary row. Group donors with a blank row between each.

The pattern: aggregate giving data and interaction history in one prompt, formatted so you can use it immediately without opening Raisely.
