Export Raisely Donor Interaction History to a Sheet for Stewardship

The Scenario

You are a major gifts officer. End-of-year stewardship push starts Monday. You have 20 top donors listed in a Google Sheet — the people your organization plans to call personally this week.

Before you call anyone, you want to know every touchpoint in their history: calls, emails, events, notes from previous conversations. Raisely calls these "interactions" and stores them on each donor's profile. You need them laid out chronologically so you can walk into each conversation knowing exactly what has been said and done.

The slow version of Friday afternoon:

  • Open Raisely, navigate to the first donor's profile
  • Click through to their interaction history
  • Read the interactions, take notes in your calling script doc
  • Go back, find the second donor, repeat
  • Twenty donors, some with a dozen interactions, some with two, all of it in individual Raisely profile pages
  • By 5 PM you have read eight donors. You go into Monday half-prepared.

The Easy Way: One Prompt in SheetXAI

SheetXAI reads each donor UUID from the sheet, fetches their full interaction history from Raisely, and writes it into the spreadsheet chronologically.

Open the SheetXAI sidebar and type:

For each donor UUID in column A, fetch all Raisely interactions and list the category, date, and notes for each interaction in rows below the donor's name. Group by donor with a blank row between each donor's block.

SheetXAI fetches the interaction history for all 20 donors and lays them out in the sheet chronologically. You can read through the entire history for every donor in one scroll instead of clicking through 20 Raisely profile pages.

A chronological interaction log for each donor:

  • Donor name as a header row — with a blank row separating each donor's block

What If the Data Is Not Quite Ready

Interaction history from a real donor database has gaps, formatting issues, and enrichment needs before it is useful for a stewardship call.

When you only want interactions from the last 24 months

Donors with long giving histories have interactions going back years. You want to focus on what is recent.

For each donor UUID in column A, fetch Raisely interactions from the last 24 months only. Write category, date, and notes for each interaction chronologically below the donor name. Group by donor with a blank row between each.

When you need to flag donors who have had no interaction in over a year

Some donors on the list may have fallen through the cracks. You want to know who has not had a logged interaction in the last 12 months before you call.

For each donor UUID in column A, fetch all Raisely interactions. Write the full interaction log as above. In a separate column B next to each donor name row, write the date of the most recent interaction. Flag donors where the most recent interaction is over 12 months ago as 'Long Lapse' in column C.

When notes contain a specific keyword you need to surface

Your predecessor left notes on some donors flagging a specific ask — "Endowment" or "Building Fund" — that you want to pick up on in your call.

For each donor UUID in column A, fetch all Raisely interactions. Write the interaction log below each donor name. In column B next to each interaction row, mark 'FLAG' if the notes field contains the words 'Endowment' or 'Building Fund'.

When you need the full prep sheet: giving history plus interaction log

You want the calling sheet to include not just interactions but also each donor's total giving and most recent donation amount in a summary row above their interaction block.

For each donor UUID in column A, fetch their total giving amount and most recent donation date from Raisely, then write those as a summary row below the donor name. Then fetch all interactions from the last 24 months and write them chronologically below the summary row. Group donors with a blank row between each.

The pattern: aggregate giving data and interaction history in one prompt, formatted so your calling team can use it immediately without opening Raisely at all.
