The Scenario
You are a VP of Professional Services. The board meeting is in three days and the CFO wants a delivery status report. You have sixty active Rocketlane projects, each with a customer, an owner, a start date, a due date, and a status.
You need all of that in an Excel workbook on SharePoint before the board prep call tomorrow. The CFO wants to sort by status. The COO wants to filter by owner.
The slow version:
- Open Rocketlane's project list
- Click into each project to get the completion percentage
- Copy project name, customer, owner, status into Excel, row by row
- Finish thirty projects, realize you need to go back and get start dates
- Board meeting starts in ninety minutes and you are on project forty-two.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI pulls the full portfolio snapshot from Rocketlane and writes it to your workbook in one go.
Open the SheetXAI sidebar and type:
Pull all active Rocketlane projects into the Delivery Status tab — include project ID, name, customer name, owner, start date, end date, and current status.
SheetXAI queries all active projects from Rocketlane and writes every field to the Delivery Status tab. Sixty rows in under a minute. Sort, filter, pivot — the CFO gets what they need.
What You Get
A full portfolio snapshot, one row per project in the Delivery Status tab:
- Project ID — for the accounting system lookup if needed
- Project name — for identification
- Customer name — for the stakeholder view
- Owner — for accountability
- Start date and end date — for timeline context
- Status — active, at risk, on hold, completed
The tab is board-ready. Add conditional formatting to highlight at-risk projects and you have a dashboard without building one.
What If the Data Is Not Quite Ready
A portfolio export rarely ends at a simple list.
When you want completion percentage and it is not in the list view
List all Rocketlane projects. For each project, calculate completion percentage as completed tasks divided by total tasks. Write project name, customer, owner, start date, end date, status, and completion percentage to the Delivery Status tab.
When you want to group the report by project owner
The COO wants to see each delivery lead's projects together.
List all Rocketlane projects. Group by owner name and write a separate block per owner to the Delivery by Owner tab, with a header row showing the owner's name and project count, followed by project rows with customer, start date, end date, and status.
When you want to flag past-due and at-risk projects
Before the board meeting you want to know which projects are behind schedule.
List all Rocketlane projects. Write them to the Delivery Status tab. In column G, write "PAST DUE" if the end date is before today and status is not "Completed," "AT RISK" if end date is within 14 days and status is "In Progress," and "ON TRACK" for everything else.
When you need to compare this quarter's portfolio to last quarter's
List all Rocketlane projects with a start date in Q1 2026 and write them to the Q1 Projects tab. Then list projects with a start date in Q2 2026 and write them to Q2 Projects. In the Comparison tab, write a summary showing total project count, average completion percentage, and count of at-risk projects for each quarter side by side.
Try It
Get the 7-day free trial of SheetXAI and open a blank workbook, then ask it to pull all active Rocketlane projects for your next portfolio review. The Rocketlane integration is included in every plan. For related workflows, see how to export billable time entries for invoicing or the Rocketlane in Excel overview.
