Export All Active Rocketlane Projects to a Sheet for a Portfolio Health Report

The Scenario

You are a VP of Professional Services. The board meeting is in three days and the CFO wants a delivery status report. You have sixty active Rocketlane projects, each with a customer, an owner, a start date, a due date, a status, and a completion percentage.

You need all of that in a Google Sheet. The CFO wants to sort by completion percentage. The COO wants to filter by owner. You want to be able to answer questions without clicking into Rocketlane during the meeting.

The slow version:

  • Open Rocketlane's project list
  • Click into each project to get the completion percentage, which is not shown in the list view
  • Copy project name, customer, owner, status, percentage into the sheet, row by row
  • Finish thirty projects, realize you need to go back and get start dates
  • Add the start date column, go through all sixty again
  • Board meeting starts in ninety minutes and you are on project forty-two.

What If the Data Is Not Quite Ready

A portfolio export rarely ends at a simple list.

When you want completion percentage and it is not in the list view

The standard project list does not include completion percentage. You need it for the board report.

List all Rocketlane projects. For each project, get the completion percentage by looking at the ratio of completed tasks to total tasks. Write project name, customer, owner, start date, due date, status, and completion percentage to the 'Portfolio Dashboard' sheet.

When you want to group the report by project owner for a team accountability view

The COO wants to see each delivery lead's projects together, not a single flat list.

List all Rocketlane projects. Group them by owner name and write a separate block per owner to the 'Delivery by Owner' sheet, with a header row showing the owner's name and the count of their projects, followed by the project rows with customer, start date, due date, and status.

When you want to flag projects that are past due or at risk

Before the board meeting you want to know which projects are behind schedule.

List all Rocketlane projects. Write them all to the 'Portfolio Dashboard' sheet. In column G, write "PAST DUE" if the due date is before today and the status is not "Completed," "AT RISK" if the due date is within the next 14 days and status is "In Progress," and "ON TRACK" for everything else.

When you need to compare this quarter's portfolio to last quarter's

The board wants to see whether the active project count is growing or shrinking versus Q1.

List all Rocketlane projects with a start date in Q1 2026 and write them to the 'Q1 Projects' sheet. Then list all projects with a start date in Q2 2026 and write them to the 'Q2 Projects' sheet. In the 'Comparison' sheet, write a summary showing total project count, average completion percentage, and count of at-risk projects for each quarter side by side.
