Export a Trello Member Workload Summary to a Excel workbook

The Scenario

You are an engineering manager. You're about to make new sprint assignments and you need to know what everyone is already carrying. The 'Engineering Q2' board has 120 cards across six lists and 8 engineers. You've been estimating workload by memory. The assignment meeting is in an hour.

The bad version:

  • Open the board. Filter by engineer one. Count their cards. Break down by list. Remove the filter.
  • Apply the next filter. Count. Break down. Remove.
  • Eight engineers, six lists. You'll finish the count just as the meeting starts, with no time to think about what it means.

Workload analysis requires a table. Doing it by eye inside Trello is the wrong tool for this particular decision.

The Easy Way: One Prompt in SheetXAI

SheetXAI fetches the full card list with member assignments and builds the per-person breakdown in one pull.

Get all cards assigned to each member of the Trello board 'Dev Team' and write a summary into this Excel sheet: one row per member showing their name, number of open cards, and the lists those cards are in.

What You Get

  • One row per member in the summary worksheet.
  • Columns: member username (A), total open cards (B), breakdown by list in additional columns.
  • Unassigned cards listed separately so you can see the open pool.
  • A detail worksheet with one row per card: name, list, assigned members.

What If the Data Is Not Quite Ready

You want the summary broken down by list, not just total count

Fetch all cards from the Trello board 'Engineering Q2'. Write a summary into this workbook: one row per member showing username, total card count, and the number of cards in each list as separate columns.

Some cards are shared — count each assignee independently

Fetch all cards from 'Engineering Q2'. For each card-member pair, write one row with card name, list, and member username. Then add a summary worksheet with total card counts per member, counting shared cards once per assignee.

Scope to active lists only

Fetch all cards from 'Engineering Q2' in the 'In Progress' or 'Review' lists only. Write card name, list, and assigned members into the main worksheet. Add a summary worksheet with card counts per member for those lists.

Get workload data, identify overloaded members, and flag unassigned cards

Fetch all cards from 'Engineering Q2'. Write card name, list, and assigned members into the main worksheet. In a summary worksheet, show card count per member. In an 'Alerts' worksheet, list any member with more than 8 cards and any card with no assigned member.
