Your records show $6,800 outstanding. Before you go back to them with a definitive answer, you want to check whether any credit notes were issued against their account that might explain the discrepancy. You need the credit note data in your Excel workbook to cross-reference.
The bad version:
- You log into Xero, navigate to Credit Notes, filter by customer, and find three credit notes for this contact spread across two pages
- You click into each one to check whether it was applied against invoice 2847 or a different invoice — Xero takes you to a detail page each time and you have to navigate back to the list
- You still cannot determine from memory whether the credit notes account for the full disputed amount, and you have to call the customer back and say you are still looking into it
