The Scenario
You manage LinkedIn outreach for 15 client accounts, all connected to HeyReach. It's the first of the month and every client gets a capacity report: sender account name, current connection count, LinkedIn profile URL, and recent activity stats. Last month you built it by clicking through each account in HeyReach one at a time, reading the numbers, and entering them into a master Google Sheet by hand. Fifteen accounts, four fields each, fifteen minutes you'd rather spend on analysis.
You've now done this three months in a row. The data exists in HeyReach. The sheet is waiting. The only thing in between is a task you're increasingly certain shouldn't require a human.
The bad version:
- Navigate to the LinkedIn Accounts panel in HeyReach, click the first account, and manually copy its name and profile URL into the sheet.
- Scroll to find the connection count — it's not always in the same place depending on account type — and enter it next to the other fields.
- Repeat for all 15 accounts, hoping you don't accidentally overwrite a row from last month's report.
It's repetitive, it's prone to transposition errors, and every month it takes slightly longer as the client roster grows.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent that lives inside your Google Sheet. It reads the sheet, understands what you're building, and through its built-in HeyReach integration it can pull the full list of connected LinkedIn sender accounts and write their details directly into your workbook.
List all LinkedIn accounts connected to HeyReach and write their name, profile URL, and connection count into my sheet — one account per row
What You Get
- All 15 accounts land in the sheet with three fields per row: name, profile URL, and connection count.
- The data is current as of the moment you run the prompt — not whatever was in last month's report.
- You can append a date stamp or a "Month" column in the same prompt to keep the history intact as you run this report monthly.
What If the Data Is Not Quite Ready
You need engagement stats added alongside the connection counts
Connection count is the baseline, but your clients also want to see recent message sends and replies where available.
Fetch all HeyReach LinkedIn accounts and write their account ID, name, profile URL, connection count, and any available engagement stats into my 'Sender Accounts' sheet — one account per row
You want to add a date stamp so monthly reports stack without overwriting
You're building a running history — each month's data should append below the previous month, not replace it.
Pull all LinkedIn accounts connected to HeyReach and append their name, profile URL, and connection count to the bottom of my 'Sender Accounts' sheet — add today's date in column D for each row — do not overwrite existing rows
Some accounts belong to specific clients and you want that mapped in the sheet
You have a 'Client Map' tab where column A is the LinkedIn profile URL and column B is the client name. You want the client name included in the capacity report.
Fetch all HeyReach LinkedIn accounts and write name, profile URL, and connection count into my 'Sender Accounts' sheet — for each account, look up the profile URL in column A of my 'Client Map' tab and add the client name from column B into column D
Pull all accounts, map to clients, calculate headroom, flag near-capacity — in one pass
LinkedIn sender accounts typically cap at 100 connection requests per week. If an account has fewer than 200 connections total, you flag it as "New Account — Limited Capacity."
Fetch all HeyReach LinkedIn accounts — write name, profile URL, and connection count into 'Sender Accounts' — look up the client name from 'Client Map' and add it in column D — add a column E: if connection count is under 200, write 'Limited Capacity', otherwise write 'Active'
One ask, one report, ready to share with clients before the morning standup.
