Create Instantly Subsequences From a Configuration Table in a Sheet

The Scenario

You are a sales director. On Tuesday you sat down with your team and designed 4 follow-up subsequences in a Google Sheet. Each row in the sheet represents one subsequence: name, trigger condition, trigger value, email subject, and email body.

They need to exist in Instantly by Thursday morning. Your SDRs start using them Thursday afternoon.

The slow version:

  • Log into Instantly
  • Open the campaign
  • Find the subsequence settings
  • Click "create subsequence"
  • Fill in the name, trigger, and email step for subsequence 1
  • Repeat for subsequences 2, 3, 4
  • Realize you misread the trigger condition for subsequence 3, go back and fix it
  • It is Thursday morning and you are still in the UI.

What If the Data Is Not Quite Ready

Subsequence configuration tables built in strategy sessions are never perfectly structured.

When the trigger values have inconsistent formatting

Some rows list trigger values as "interested", others as "INTERESTED", others as "Is Interested".

Normalize the Trigger Value column: convert all values to lowercase and replace spaces with underscores to match Instantly's expected format. Then create each subsequence in campaign 'Enterprise Q3' and write the result into column F.

When the email body column has placeholders that need to be verified

Your team used {{first_name}} and {{company}} in the body column. You want to confirm those placeholders are valid before creating the subsequences.

Check each row's Email Body column for Instantly-compatible personalization placeholders. Flag any row where a placeholder is not in the approved list (first_name, last_name, company, website). Then create subsequences only for the rows that pass the check.

When some rows are incomplete and should be skipped

A few rows are missing the Email Subject or Email Body because the copywriter has not finished them yet.

For each row in this sheet, check that Subsequence Name, Trigger Type, Trigger Value, Email Subject, and Email Body are all filled in. Skip any row with a blank required field and write "INCOMPLETE — skipped" into column F. Create subsequences for all complete rows.

When you need to create subsequences across two campaigns from one table

The configuration sheet covers both the 'Enterprise Q3' campaign and the 'SMB Q3' campaign. A column specifies which campaign each subsequence belongs to.

For each row in this sheet, create the subsequence in the Instantly campaign listed in column F. Use the Subsequence Name, Trigger Type, Trigger Value, Email Subject, and Email Body columns. Write the result and campaign name into column G.
