List Paperform Spaces and Their Forms in a Google Sheet

The Scenario

You manage eight client accounts inside a shared Paperform workspace. A new stakeholder has asked for a workspace map — which spaces exist, how many forms live in each one, and what those forms are called — before you reorganize everything next week. You've never had to produce this document before, and there's no export for it.

The bad version:

  • Navigate to the Spaces panel in Paperform and write down each space name and its ID from the URL
  • Click into each space, scroll through the forms it contains, and write down every form name and ID for that space in your sheet
  • Do this for all eight spaces, keeping careful track of which row belongs to which space, knowing that one wrong click resets the breadcrumb trail you've been following

Eight spaces times an average of six forms per space is 48 rows of manual data entry, each requiring at least two clicks to verify.

Nobody hired you to be a human export tool. The stakeholder needs the map in two hours, and this is the only path you can see.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads the sheet and, through its built-in Paperform integration, can pull your full space and form hierarchy in one operation and write it into a structured format you choose.

List all my Paperform spaces and for each space list the forms it contains — write space name, space ID, form name, and form ID into this sheet

What You Get

  • One row per form, with space name and space ID repeated across rows belonging to the same space
  • Column A: space name
  • Column B: space ID
  • Column C: form name within that space
  • Column D: form ID
  • The full hierarchy written in a single pass — no partial pulls, no missing spaces

What If the Data Is Not Quite Ready

You want one row per space with a count, not one row per form

Fetch all Paperform spaces and write space name, space ID, and a count of how many forms it contains into columns A through C of this sheet — one row per space

You need spaces and forms, but only for certain client prefixes

List all Paperform spaces whose name starts with "Client" and for each space list all forms with their name and ID — write space name, form name, and form ID into this sheet

You want to cross-reference the space list against a second tab

I have a list of expected space names in column A of the "Expected Spaces" tab — fetch all Paperform spaces, write all of them into the "All Spaces" tab, and in column D mark any space that does not appear in the Expected Spaces list as "New"

Full workspace map with form counts and a summary row

Fetch all Paperform spaces and forms, write the full hierarchy into this sheet with space name, space ID, form name, and form ID, then add a summary row at the bottom of each space group showing total form count for that space

The inventory and the summary both come out of one prompt — no separate count formula needed.
