The Scenario
You are a telecom ops analyst at a contact center. It is the end of Q2 and your manager needs a phone number inventory for the audit. You have 30 Synthflow phone numbers spread across the workspace, each assigned to a different agent.
The audit requires every number, its status, and the agent it is linked to, in a spreadsheet, by Friday at 5 PM. It is Thursday morning.
The slow version:
- You open the Synthflow dashboard and navigate to the phone numbers section
- You read each number, its status, and its linked agent name one by one
- You type them into a Google Sheet
- On number 19, you accidentally skip a row and do not notice until number 28
- You have to cross-reference the dashboard and the sheet to figure out which number is missing
- You submit the audit with 29 of 30 numbers and a note that you will follow up.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your Google Sheet that fetches the full Synthflow phone number list and writes it to the sheet in one pass, with no manual copying or counting.
Open the SheetXAI sidebar and type:
Fetch all Synthflow phone numbers for the workspace and write each number, its workspace assignment, and assignment details into columns A through C of this sheet.
SheetXAI calls the Synthflow API, retrieves all 30 phone numbers, and writes the three columns. The audit is ready before lunch.
What You Get
A complete phone number inventory with 30 rows and three columns:
- Column A — phone number
- Column B — workspace assignment
- Column C — assignment details (linked agent name and status)
Every number is in the sheet with verified data from the API. No manual copying, no counting errors, no missing rows.
What If the Data Is Not Quite Ready
Inventory sheets need more than raw data for a real audit. SheetXAI enriches inline.
When you need status as a separate column
The audit form requires a dedicated status column, not a combined assignment field.
Fetch all Synthflow phone numbers and write number, workspace, linked agent name, and status as separate columns A through D. Flag any number where the status is not "active."
When you need to cross-reference numbers against a list of expected numbers
Your ops team has a master list in the Expected Numbers tab. You want to see which numbers are in Synthflow and which are missing.
Fetch all Synthflow phone numbers and write them into column A. Then cross-reference column A against the Expected Numbers tab and write "present" or "missing" into column B for each expected number. List any Synthflow numbers not in the expected list at the bottom of the sheet.
When you need to add porting eligibility per number
The porting audit requires whether each number is eligible to be ported out.
Fetch all Synthflow phone numbers and write number, workspace, and status into columns A through C. In column D, check whether each number is eligible for porting based on its status and write "portable" or "not portable."
When you need to join phone numbers with call volume for the quarter
The audit also requires how many calls each number handled in Q2.
Fetch all Synthflow phone numbers and write number and linked agent model ID into columns A and B. For each model ID in column B, pull the total call count for Q2 from Synthflow call analytics and write it into column C. Sort by column C descending so the highest-volume numbers appear first.
The pattern: a phone number inventory is a list read with enrichment, not a copy-paste job. One prompt replaces an afternoon of manual work.
