Audit Trello Board List Structures Across a Workspace Into a Google Sheet

The Scenario

The agile coach is preparing for a cross-team alignment session. There are ten engineering team boards in the Trello workspace. The session's premise: everyone should be running the same Kanban structure. Before the coach can make that case, they need to know whether it's actually true. Right now they have no idea — and finding out means opening ten boards one by one and reading list names from the screen.

The bad version:

  • Open board one, note the list names in a spreadsheet row
  • Open board two, repeat
  • Realize at board five that two boards have lists spelled differently ('In-Progress' vs 'In Progress') and you need to go back and recheck board one

Ten boards, all requiring individual navigation, and the entire goal is to end up with a table comparing list names. The information exists — getting it out of Trello and into a comparable format is the part that takes 45 minutes for no reason.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It can sweep every board in your org and write each board's list structure into the sheet in a format that's immediately comparable.

The prompt to run:

Get all boards in our Trello organization. For each board, fetch its lists and write the board name in column A and each list name in columns B, C, D, etc. in order — one row per board — so I can compare structures side by side.

What You Get

  • One row per board
  • Column A: board name
  • Columns B onward: list names in their board order
  • Boards with fewer lists have empty cells in later columns
  • Ready to highlight inconsistencies immediately

What If the Data Is Not Quite Ready

You only want to compare specific boards, not the whole org

Fetch the list structures for the Trello boards with the IDs in column A of this sheet. Write each board's name and list names into this sheet, one row per board, lists in order across columns B through H.

You want to flag boards that deviate from the standard

Get the list names from the Trello board ID in cell A1 as the standard structure. Then fetch the lists from every board ID in column B of this sheet and compare them to the standard. Write 'matches' or the list of differences into column C for each board.

You need list positions (not just names) to check ordering

For each board ID in column A of this sheet, get its lists ordered by position. Write the board name, and for each list write its position number and name as adjacent columns. I want to see if lists are in the same order across boards, not just if the same names exist.

Full structure audit with member counts and activity

Get all open boards in our Trello organization. For each board, write the board name, list count, list names in order, member count, and date of last activity into this sheet. Sort by last activity descending so the most active boards appear first.

One prompt gives the coach the structure comparison and the context — so the alignment session starts with data, not discovery.
