Bulk Update Trello Board Names and Descriptions From a Google Sheet

The Scenario

You inherited the rebrand project. Every client Trello board — all fifteen of them — needs a new naming convention and a refreshed description to match the agency's repositioning. Your predecessor left an Excel sheet with the old board names. Nobody left the board IDs.

A colleague spent two hours last week tracking down the IDs by hand, clicking through the workspace one board at a time. You'd rather not repeat that.

The bad version:

  • Open the Trello workspace, find the first board, click Settings, update the name, write the new description, save.
  • Navigate back to the workspace, find the next board, repeat.
  • Around board nine, you realize you copy-pasted the wrong description because the tabs are all named similarly now.

Fifteen boards at ten minutes apiece is two and a half hours of the kind of work that leaves you slightly less competent for the rest of the day.

The Easy Way: One Prompt in SheetXAI

SheetXAI sits inside your Google Sheet and has a direct Trello integration. Give it a sheet with board IDs, new names, and new descriptions, and it pushes every update in a single operation.

Set up your sheet with board IDs in column A, new names in column B, and new descriptions in column C. Then:

For each row in this sheet, update the Trello board with the ID in column A: rename it to column B and set its description to column C. Write "done" into column D when each board is updated.

If you don't have the IDs yet:

List all boards in our Trello organization and write the board name, ID, description, and URL into this sheet so I can fill in the new names and descriptions.

What You Get

  • Every board renamed and re-described according to the spreadsheet values.
  • Column D populated with "done" for each successful update.
  • Any board IDs that couldn't be found reported in column D instead of dropping silently.
  • The Trello workspace view reflects the new names immediately — no page reload required on the Trello side.

What If the Data Is Not Quite Ready

You only have board names, not IDs

Get all boards in our Trello organization and write the board name and board ID into columns A and B of this sheet. I'll add the new names and descriptions in columns C and D before we run the updates.

Pull the IDs first, then overlay your rename data before running the update pass.

Some boards are archived and shouldn't be touched

Get all boards in our Trello organization where the status is open (not closed/archived). Write board ID, name, and description into this sheet. Skip any boards where the name contains the word "Archive."

Filtering at read time means the update list is clean before you write anything.

For each row in this sheet, update the Trello board with the ID in column A. Set its name to column B and set its description to the text in column C followed by a line break and then: "Managed by Ops. Questions to ops@agency.com."

SheetXAI assembles the concatenated description inline without you pre-building it in the sheet.

Full audit, update, and confirmation in one pass

Get all boards in our Trello organization. Write board ID, current name, and current description into this sheet. Then update every board whose ID also appears in column E to the name in column F and description in column G. Write the old name into column H for rollback reference.

One prompt captures the before state and applies the after state, with rollback data built in.

When the before-and-after are captured in the same operation, you have an undo path without a second meeting to reconstruct what used to be there.

Try It

Pull up any Google Sheet with a board ID column — or just a blank sheet — and Get the 7-day free trial of SheetXAI to start the rename pass. Pair it with the export workspace board inventory spoke to pull board IDs first, or return to the Trello integration hub to see the full set of board management patterns.
