Export a Confluence Space Inventory Into Excel Workbooks for a Content Audit

The Scenario

You are a knowledge manager. The head of engineering wants a content audit of the Product Confluence space before the annual documentation review. She wants to know which pages are stale, who owns them, and which have not been touched in six months, all in an Excel workbook she can filter.

The Product space has somewhere between 300 and 400 pages. The workbook is blank.

The bad version of this audit:

  • Open Confluence, browse the page tree, copy page titles one at a time into the workbook
  • Note the author and last-modified date for each page by hand
  • Lose track of where you are in the nested sections after the third level
  • Spend half a day covering two thirds of the space
  • Hand in an incomplete audit and ask for more time you do not have.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your Excel workbook that can query Confluence and write the full space inventory directly into the workbook, without you browsing a single page tree.

Open the SheetXAI sidebar and type:

Search Confluence for all pages in the Product space and list the title, author, last-modified date, and page URL in this workbook. Add a column marking any page not modified in the past six months as "stale."

SheetXAI queries Confluence, handles pagination across all 350 pages, writes the inventory into the workbook, and applies the stale flag in the same pass. You hand the workbook to engineering before lunch.

What You Get

A complete space inventory in the workbook:

  • Column A — page title
  • Column B — author display name
  • Column C — last-modified date
  • Column D — Confluence page URL
  • Column E — "stale" flag for pages not touched in six months

The full list, not a sample. SheetXAI handles Confluence pagination so every page appears in the workbook.

From here, filter by column E to isolate stale pages, or share the workbook with section owners so they can mark which pages to archive.

What If the Data Is Not Quite Ready

Real audits surface complications. SheetXAI handles them in the same prompt.

When you want to exclude the Archive section

The Product space has an "Archive" section that should not count as active documentation in the audit.

Search Confluence for all pages in the Product space, excluding any page whose title path includes "Archive." Write title, author, last-modified date, and URL into columns A through D. Flag stale pages in column E.

When the audit spans multiple spaces

The review covers Product, Engineering, and Design spaces together.

Search Confluence for all pages in the Product, Engineering, and Design spaces. Write each page's title, space name, author, last-modified date, and URL into columns A through E. Flag any page not modified in six months as "stale" in column F.

When you need results grouped by owner for follow-up

The documentation lead wants to send each section owner a list of their own stale pages.

Search Confluence for all pages in the Product space. Write title, author, last-modified date, and URL into columns A through D. Sort by author so I can filter by owner. Flag stale pages in column E.

When you also need to tag stale pages in Confluence

The documentation lead wants stale pages labeled directly in Confluence so owners see the flag without opening the workbook.

Search Confluence for all pages in the Product space not modified in the past six months. Write their titles and page IDs into this workbook. Then add the label "needs-review" to each of those pages in Confluence. Write the label result into column C.

The pattern: pull the inventory and act on it in one prompt. SheetXAI makes the Confluence calls in both directions.
