Export a Full Instantly Campaign Inventory to an Excel Workbook for Workspace Audits

The Scenario

You are a sales ops lead. Your company just hired a RevOps consultant doing a full audit of your Instantly workspace. They need a master inventory of all 20 campaigns: name, status, creation date, lead count, and sender account count.

The request came in Monday morning. They are presenting findings to the VP of Sales Wednesday at noon.

The slow version:

  • Log into Instantly
  • Click into campaign 1, note the name, status, date, lead count, sender count
  • Repeat for campaigns 2 through 20
  • Build the workbook manually
  • Make a formatting error on row 14 that throws off the lead count column
  • Fix it
  • It is Tuesday night and you are still verifying numbers.

When you want to flag campaigns that are still active but old

Flag any campaign marked "active" but created more than 90 days ago.

List all Instantly campaigns with name, status, and creation date. Calculate days since creation. Add a "Campaign Age" column and flag any campaign that is "active" but older than 90 days with "REVIEW" in column F.

When the VP wants a summary by status, not a row-per-campaign view

Count how many campaigns are in each status bucket.

List all Instantly campaigns. Group by status and write a summary to the Summary tab: one row per status showing status label and campaign count. Then write the full detail to the Inventory tab below the summary.

When the audit is specifically about sender account distribution

You want to see which campaigns are using the most sending infrastructure.

List all Instantly campaigns with name, status, and sender account count. Sort by sender account count descending on the Inventory tab. Flag any campaign with more than 5 sender accounts in a "High Volume" column.

When the consultant wants lead samples from the top 5 campaigns

They want to verify lead quality in the largest campaigns.

List all Instantly campaigns sorted by lead count descending and write to the Inventory tab. For the top 5 campaigns by lead count, pull the first 10 lead emails and write them to the Sample Leads tab with the campaign name as a section header.
