Export a Full Instantly Campaign Inventory to a Sheet for Workspace Audits

The Scenario

You are a sales ops lead. Your company just hired a new RevOps consultant who is doing a full audit of your Instantly workspace. They need a master inventory of all 20 campaigns: name, status, creation date, number of leads, and number of sender accounts.

The request came in Monday morning. They are presenting findings to the VP of Sales Wednesday at noon.

The slow version:

  • Log into Instantly
  • Click into campaign 1, note the name, status, date, lead count, sender count
  • Repeat for campaigns 2 through 20
  • Build the sheet manually
  • Make a formatting mistake on row 14 that throws off the lead count column
  • Fix it

What If the Data Is Not Quite Ready

A raw campaign list is useful but an audit sheet usually needs more shape.

When you want to categorize campaigns by age

The consultant wants to flag campaigns older than 90 days that are still marked active.

List all Instantly campaigns with name, status, and creation date. Calculate how many days ago each campaign was created. Add a "Campaign Age" column with the day count and flag any campaign that is marked "active" but was created more than 90 days ago with "REVIEW" in a separate column.

When you want to summarize by status for the VP summary slide

The VP does not want rows. They want: how many active, how many paused, how many draft.

List all Instantly campaigns. Group by status and write a summary to this sheet: one row per status type showing status label and campaign count. Then write the full campaign detail below the summary.

When the sender account count is the key metric and you want it sorted

The audit is specifically about sender account distribution. You want to see which campaigns are monopolizing your sending infrastructure.

List all Instantly campaigns with name, status, and sender account count. Sort by sender account count descending. Flag any campaign with more than 5 sender accounts in a "High Volume" column.

When you need the inventory plus a sample of the leads for the top 5 campaigns

The consultant wants to verify the lead quality in your largest campaigns.

List all Instantly campaigns sorted by lead count descending. Write the full inventory to the Campaigns tab. For the top 5 campaigns by lead count, pull the first 10 lead emails and write them to the Sample Leads tab with the campaign name as a header for each section.
