Pull Instantly Campaign Analytics Into an Excel Workbook for Executive Reporting

The Scenario

You are a growth team lead. Every month, your head of marketing asks for a reporting workbook showing cold email performance: emails sent, open rate, reply rate, bounce rate, for every active campaign.

You have 8 active campaigns in Instantly. The executive review is Thursday at 2 PM.

The slow version every month:

  • Log into Instantly
  • Click into campaign 1, note the stats
  • Repeat for campaigns 2 through 8
  • Open the Excel workbook, type in the numbers for each campaign
  • Realize you copied last month's open rate for campaign 4, go back and fix it
  • Reformat the columns so the workbook matches last month's version
  • It is Wednesday night and you are still at it.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

Campaign analytics rarely come back in the exact shape your reporting workbook expects.

When campaign names have inconsistent prefixes

Your naming convention changed mid-year. Old campaigns start with "2025-" and new ones start with "Q2-". The exec report needs clean names.

Pull analytics for all Instantly campaigns. Strip any "2025-" or "Q2-" prefix from campaign names before writing. Write to the Report tab with columns for cleaned name, sent, open rate, reply rate, and bounce count.

When you only want campaigns that ran in the last 30 days

Some campaigns are paused or finished. They should not appear on the monthly report.

Pull Instantly campaign analytics and filter to campaigns where emails sent in the last 30 days is greater than zero. Write only those campaigns to the Report tab, one row each, with campaign name, sent, open rate, reply rate, and bounce count.

When you need to sort by reply rate to surface the top performers

The exec wants the best-performing campaigns at the top of the table.

Pull analytics for all active Instantly campaigns. Write them to the Report tab sorted by reply rate descending. Include campaign name, sent, open rate, reply rate, clicks, and bounce count.

When you need month-over-month comparison against last month's workbook tab

The exec always asks whether this month is better than last.

Pull current Instantly campaign analytics and write them to the This Month tab with campaign name, sent, open rate, reply rate, and bounce count. Compare each campaign's reply rate to the matching row in the Last Month tab and write the delta into column F. Flag any campaign where reply rate dropped more than 2 percentage points.

The pattern: pull, reshape, compare — one prompt, no dashboard clicking.
