The Scenario
You are a growth team lead. Every month, your head of marketing asks for a single slide summarizing cold email performance: emails sent, open rate, reply rate, bounce rate, for every active campaign.
You have 8 active campaigns in Instantly. The executive review is Thursday at 2 PM.
The slow version every month:
- Log into Instantly
- Click into campaign 1, screenshot or note the stats
- Repeat for campaigns 2 through 8
- Open the Google Sheet, paste in the numbers for each campaign
- Realize you grabbed last month's open rate for campaign 4, go back and fix it
- Reformat the columns so the sheet looks like last month's version
- It is Wednesday night and you are still formatting.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your spreadsheet that reads your Instantly workspace and writes the analytics directly into the sheet so you do not have to click through eight campaign dashboards.
Open the SheetXAI sidebar and type:
Pull the analytics overview for all my Instantly campaigns and write them to this sheet — include campaign name, emails sent, open rate, reply rate, clicks, and bounce count — one row per campaign. Put a "Last Updated" timestamp in cell A1.
SheetXAI calls the Instantly analytics API, pulls stats for every active campaign, and writes each one as a row in the sheet. The timestamp goes into A1 so anyone opening the file knows when the data was pulled.
What You Get
A reporting sheet with one row per campaign, ready for the executive slide:
- Campaign name — exactly as it appears in Instantly
- Emails sent — total for the campaign
- Open rate, reply rate, click rate — as percentages
- Bounce count — absolute number so you can flag anything over your threshold
- Timestamp in A1 — so your CMO knows the data is current
The sheet is ready before you make your coffee. On Thursday morning, you pull the same prompt again and the rows refresh in place. No clicking, no copy-pasting, no formatting.
What If the Data Is Not Quite Ready
Analytics pulls from any platform come back in shapes that do not always match your report template. SheetXAI handles the reshaping in the same prompt.
When the campaign names have inconsistent prefixes
Your naming convention changed in March. Old campaigns start with "2025-" and new ones start with "Q2-". The exec slide needs clean names.
Pull analytics for all Instantly campaigns. Strip any "2025-" or "Q2-" prefix from campaign names. Write the results to this sheet with columns for cleaned campaign name, sent, open rate, reply rate, and bounce count.
When you only want campaigns that actually ran this month
Some campaigns are paused or finished. You do not want them on the report.
Pull Instantly campaign analytics and filter to campaigns where emails sent in the last 30 days is greater than zero. Write only those campaigns to this sheet, one row each, with campaign name, sent, open rate, reply rate, and bounce count.
When you need to sort by reply rate to surface the winners
The exec wants the best-performing campaigns at the top.
Pull analytics for all active Instantly campaigns and write them to this sheet sorted by reply rate descending. Include campaign name, sent, open rate, reply rate, clicks, and bounce count. Highlight the top 3 reply rates in bold in column D.
When you need month-over-month comparison and last month's data is in another tab
The exec always asks "is this better than last month?"
Pull current Instantly campaign analytics and write them to the This Month tab with columns for campaign name, sent, open rate, reply rate, and bounce count. Then compare each campaign's reply rate to the matching row in the Last Month tab and write the delta into column F. Flag any campaign where reply rate dropped more than 2 percentage points.
The pattern: pull, reshape, compare — one prompt, no dashboard clicking.
