The Scenario
You are a BDR at a tech startup. You have 600 contacts in Mixmax and you need to know which ones are warm before you spend the next two weeks on follow-up calls.
Your definition of warm: more than three opens in the last 30 days, or at least one click. You want those contacts in an Excel workbook ranked by engagement so you and your team can split them up and start calling.
The bad version of this Monday morning:
- You open Mixmax's contact list and look for a way to sort by engagement
- You find open and click counts in the UI but no export option that includes those fields
- You export the full contact list as a CSV with basic info only
- You try to pull engagement numbers separately and stitch the two exports together in Excel with VLOOKUP
- You spend 90 minutes building the ranked list
- By the time you are done, one of your teammates has already called the best leads from their own list.
The fast version is one prompt.
The Easy Way: One Prompt in SheetXAI
SheetXAI is an AI agent inside your Excel workbook that reads the data and calls Mixmax directly, so you do not have to stitch CSV exports together or run a single VLOOKUP.
Open the SheetXAI sidebar and type:
Export every Mixmax contact and their engagement stats to this workbook — email, name, open count, click count, and reply count. Sort by open count descending so the most engaged contacts are at the top.
SheetXAI pulls the contacts and their engagement stats from Mixmax, writes them into the workbook in one pass, and sorts the result. You have a ranked warm-prospect list before your first call.
What You Get
A ranked contact list, ready for your team to split:
- Email — the contact's address
- Name — first and last name from Mixmax
- Open count — cumulative opens across all tracked emails
- Click count — cumulative link clicks
- Reply count — total replies recorded
The sort order is the insight. You do not have to calculate which contacts are warmest. They are in row 2, row 3, row 4. Your team starts at the top.
Want to filter so only contacts with more than 3 opens appear? Tell SheetXAI to filter before writing. It adjusts.
What If the Data Is Not Quite Ready
Six hundred contacts rarely come out of Mixmax in a perfectly usable format. SheetXAI handles the cleanup in the same prompt.
When you only want contacts from a specific company domain
You are targeting one account and want all your Mixmax contacts there in one view.
List all Mixmax contacts where the email domain is @targetcompany.com. Write email, name, open count, click count, and reply count into this workbook sorted by open count descending.
When you want to add a priority tier column
You want to label contacts as Hot, Warm, or Cold based on their engagement counts.
Export all Mixmax contacts with engagement stats. After writing the data, add a Tier column: more than 5 opens is Hot, 2 to 5 opens is Warm, fewer than 2 is Cold. Write email, name, open count, click count, reply count, and Tier into this workbook.
When last activity date is the filter that matters, not opens
You care more about recency than volume. Contacts who engaged last week matter more than contacts with 10 opens from six months ago.
List all Mixmax contacts with engagement stats. Filter to contacts whose last activity date is within the past 30 days. Sort by last activity date descending. Write email, name, open count, click count, reply count, and last activity date into this workbook.
When you want the full analysis in one shot
You want the raw list, the tier column, and a count of how many contacts land in each tier, all in one workbook ready for your team meeting in 20 minutes.
Export all Mixmax contacts with engagement stats. Add a Tier column: more than 5 opens is Hot, 2 to 5 is Warm, fewer than 2 is Cold. Write email, name, open count, click count, reply count, and Tier into the Contacts tab sorted by open count descending. In the Summary tab, write a small table showing how many contacts fall into each tier.
The pattern: describe the output you need and SheetXAI builds it from the raw Mixmax data in one pass.
Try It
