The Scenario
You are a 3PL operator. Every weekday your facility ships 200 packages via UPS Ground. The daily order export lands in an Excel workbook on the Batch Export tab at 6:30 AM. The UPS pickup is at noon.
You need all 200 shipments created in Shippo, grouped into a single batch using your UPS Ground carrier account, and all 200 labels purchased before the driver arrives.
The slow version:
- One team member works through the Batch Export tab creating shipments row by row in Shippo
- Another team member manually builds the batch and monitors for errors
- The batch purchase button takes two tries because one shipment had a bad address
- By 11:50 you have 182 labels. The other 18 ship tomorrow.

The Easy Way: One Prompt in SheetXAI

What If the Data Is Not Quite Ready

When some rows are missing dimensions
Your export includes weight but not box dimensions. Shippo needs all three for some carrier services.
For rows in the Batch Export tab where length, width, or height columns are blank, use my "Standard Box — 12x10x6" Shippo parcel template. Create shipments for all rows, group them into a UPS Ground batch, purchase all labels, and write tracking numbers into column H.
When the carrier account should be selected based on destination state
Your UPS Ground account covers the continental US. Alaska and Hawaii need a different account.
For each row in my Batch Export tab, check the destination state. If it is AK or HI, use my UPS non-contiguous account. For all other rows, use my standard UPS Ground account. Create shipments, group into a batch per account, purchase labels, and write tracking numbers into column H.
When carryover rows from yesterday are still in the workbook
The export occasionally includes rows from the previous day that already have tracking numbers.
Skip any row in my Batch Export tab that already has a value in column H. For all remaining rows, create Shippo shipments using the carrier account in cell B1, purchase the batch, and write tracking numbers into column H.
When you want to create the batch, purchase labels, and build a warehouse handoff tab in one shot
Your warehouse manager needs a printed route sheet grouped by destination ZIP before the driver arrives.
Create Shippo shipments for all rows in my Batch Export tab, add them to a UPS Ground batch, purchase all labels, and write tracking numbers into column H. Then create a new tab called "Handoff," copy order number, recipient name, and tracking number from each row, and sort by destination ZIP code so the warehouse can group packages by zone for the driver.
The pattern: batch creation, label purchase, and handoff preparation in one prompt. Your warehouse team gets everything they need at the same time.
