Bulk Update Vapi Assistant Configs From an Excel workbook

The Scenario

You manage 15 Vapi assistants across different clients. Last week, the legal team sent new language that needs to go into every system prompt. You have it all in an Excel workbook: column A is the assistant ID, column B is the revised system prompt.

Doing this one assistant at a time in the Vapi dashboard means 15 separate trips through the UI. You did it last quarter when there were only 8 assistants. It took 40 minutes and you made two copy-paste errors that nobody caught until a client called.

The bad version:

  • Open the Vapi dashboard, navigate to Assistants, click into the first assistant
  • Paste the new system prompt from your workbook, making sure you get the right row for the right assistant
  • Save, navigate back to the list, repeat 14 more times — with zero confirmation that each update actually applied

Three of your assistants serve your highest-priority clients. Getting one wrong costs more than the 40 minutes it takes to fix it.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Excel workbook. It reads your assistant IDs and prompts directly from the worksheet and applies each update to Vapi through the built-in integration in one operation.

Update every Vapi assistant listed in my Excel sheet: column A is assistant ID, column B is the new first-message text, column C is the voice provider — apply all updates now

What You Get

  • Each assistant gets its first-message text and voice provider updated to match its row in the workbook
  • SheetXAI processes the rows in order and reports back which updates succeeded
  • No dashboard navigation, no copy-paste risk, no manual verification loop

What If the Data Is Not Quite Ready

Some rows have no assistant ID yet and should be skipped

Read column A for Vapi assistant ID and column B for the new system prompt in my Excel sheet — skip any row where column A is empty — then update each matching assistant

You also need to update the voice provider at the same time

Read column A for assistant ID, column B for the new system prompt, column C for the voice provider in my Excel sheet — update each Vapi assistant with both the new prompt and the voice provider from its row

The assistant IDs in the workbook have extra whitespace from a paste

Read column A for Vapi assistant IDs (trim any leading or trailing whitespace), column B for system prompts in my Excel sheet, and update each assistant with the prompt from its row

Validate, update, and log results in one shot

Read column A for Vapi assistant ID and column B for the new system prompt in my Excel sheet — skip rows where either cell is empty — update each assistant, then write 'updated' or the error message into column C

Combining the validation and the result logging in a single prompt means you end the operation with a clean record of what applied and what did not.
