Pull Open Confluence Tasks Into a Sheet for a Standup Digest

The Scenario

You are an engineering manager. Every Monday you run a 9 AM standup with eight direct reports. You want to walk in with a digest of all open Confluence tasks assigned to the team from the past two weeks, across the Engineering and Product spaces, with assignee and due date visible.

It is Sunday evening.

The bad version of Monday morning:

  • Open Confluence, navigate to the Engineering space, browse the task view
  • Note which tasks are open and who owns them
  • Switch to the Product space, repeat
  • Open a Google Sheet, type each task in by hand
  • Realize you do not know if the task list is complete because Confluence does not tell you how many open tasks there are in total
  • Walk in with four of eight team members covered and make up the rest on the fly.

The fast version is one prompt the night before.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that can query Confluence tasks and write the results directly into the sheet, so you do not have to browse a single space.

Open the SheetXAI sidebar and type:

Get all open Confluence tasks assigned to the users listed in column A and write the task text, assignee, source page, and due date into columns B, C, D, and E of this sheet. Limit to tasks in the Engineering and Product spaces.

SheetXAI queries Confluence, pulls the open tasks for all eight team members, and writes the results into the sheet. You print or share the sheet before you walk into the standup.

What You Get

A complete team task digest in the sheet:

  • Column B — task description
  • Column C — assignee name
  • Column D — source Confluence page name and URL
  • Column E — due date (or blank if no due date set)

Every team member is covered. Not the ones you remembered to check, all of them. Tasks without due dates are in the sheet too, so you know what is floating.

Sort by assignee to go person by person during standup, or sort by due date to identify anything overdue before you start.

What If the Data Is Not Quite Ready

Task lists have their own complications. SheetXAI handles them in the same prompt.

When Confluence usernames do not match the display names in your sheet

Your sheet has display names like "Maria Chen" but Confluence stores usernames like "mchen." You need SheetXAI to resolve the mapping.

For each display name in column A, look up the corresponding Confluence username and then fetch all open tasks assigned to that user in the Engineering and Product spaces. Write the task text, display name, source page, and due date into columns B, C, D, and E.

When you want to highlight overdue tasks separately

Tasks past their due date should be on a separate row group so you address them first in standup.

Get all open Confluence tasks assigned to the users in column A from the Engineering and Product spaces. Write them into columns B through E. Flag any task where the due date in column E is before today's date by adding "overdue" in column F. Sort overdue tasks to the top.

When standup only covers a subset of the team

Two engineers are out this week. You only want tasks for the six who are present.

Get all open Confluence tasks assigned to the users listed in column A where column B says "present." Write the task text, assignee, source page, and due date into columns C, D, E, and F.

When you need the digest published to Confluence itself

The team also wants the standup digest as a Confluence page so async team members can read it later.

Get all open Confluence tasks assigned to the users in column A from the Engineering and Product spaces. Write task text, assignee, source page, and due date into columns B through E of this sheet. Then create a Confluence page in the Engineering space titled "Standup Digest — [today's date]" with the task list organized by assignee. Write the Confluence page URL into cell F1.

The pattern: pull the data and publish the output in one prompt. The sheet is the working layer between the two actions.
