The Scenario
You are a copywriter who runs cold email for five B2B clients. Each client has multiple campaigns in Instantly, each with two to four email steps, each step with an A/B variant.
Your quarterly review is in three days. You need to tell each client which subject lines are winning, which body variants are generating replies, and which steps are being ignored. All of that data is in Instantly. None of it is in a sheet.
The slow version:
- Log into Instantly
- Click into campaign 1, click into step 1, note the open and reply rates for variant A and variant B
- Repeat for every step in every campaign
- Build a spreadsheet manually for five clients
- You are still clicking through campaign 6 on Wednesday morning.

The Easy Way: One Prompt in SheetXAI

What You Get
A sheet with one row per step-variant combination across every campaign:
- Campaign name — exactly as labeled in Instantly

- Variant label — A, B, or whatever label Instantly uses
- Open rate, reply rate, click rate — as percentages per variant
The step-number column is the insight. You can sort by reply rate and immediately see that variant B on step 2 is consistently outperforming variant A across three campaigns, which means you have a subject line that should be in every client's sequence.
What If the Data Is Not Quite Ready
Step analytics from Instantly come back in shapes that do not always match a clean comparison table.
When variant labels are not standardized across campaigns
Some campaigns label variants "A" and "B", others use "Subject Test 1" and "Subject Test 2".
Pull step-level analytics for all Instantly campaigns. Normalize variant labels: if the label contains "A" or "1", call it "Variant A"; if it contains "B" or "2", call it "Variant B". Write to this sheet with campaign name, step number, normalized variant, sent, opens, and replies.
When you only want to compare steps that have enough data to be meaningful
Steps with fewer than 50 sends are too small to draw conclusions from.
Pull step-level analytics for all Instantly campaigns. Filter to step-variant combinations where the sent count is 50 or more. Write the filtered results to this sheet with campaign name, step, variant, sent, open rate, and reply rate.
When you want to highlight the winner per campaign per step
You need a clear "winner" label on each row so clients can read the sheet without doing the comparison themselves.
Pull step-level analytics for all Instantly campaigns. For each campaign-step pair, compare variant A and variant B reply rates and add a "Winner" column showing which variant has the higher reply rate. If they are within 0.5 percentage points, write "Tie" instead.
When you need to combine step analytics with campaign-level stats in one sheet
Clients want to see overall campaign performance next to step-level breakdown.
Pull overall campaign analytics for all Instantly campaigns and write them to the Summary tab. Then pull step-level analytics and write them to the Steps tab. In the Steps tab, add a column showing the parent campaign's overall reply rate next to each step's rate so clients can see context.
The pattern: pull, normalize, label — one prompt instead of a morning of dashboard clicking.
