Pull the Razorpay Settlement Report Into a Sheet for Month-End Close

The Scenario

You are a chartered accountant. It is the 3rd of April. Your client's March accounts are due by the 7th and the last thing standing between you and a clean close is the Razorpay settlement reconciliation.

The settlement report has every settlement Razorpay sent to the bank account during March — settlement ID, UTR number, settlement amount, and settlement date. You need to match each UTR against the bank statement credits and confirm the amounts align.

Your client's March bank statement has 34 credits. Razorpay processed 31 settlements in March, but the amounts don't always land in the same order as the transactions.

The slow version:

  • Log into the Razorpay dashboard
  • Go to Account & Settings → Reports → Settlement Reconciliation
  • Set the March date range, export the CSV
  • Open it in Sheets, find the right columns — the export has 22 columns and only 5 matter
  • VLOOKUP UTR numbers against the bank statement tab
  • Find that 3 UTRs are missing — email the Razorpay support team
  • The close is delayed by two days waiting for the response.

The fast version is one prompt.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent inside your spreadsheet that can pull the Razorpay settlement recon data directly and do the matching against your existing bank statement tab.

Open the SheetXAI sidebar and type:

Fetch the Razorpay settlement reconciliation report for March 2025. Import settlement ID, UTR number, settlement amount in rupees, and settlement date into this sheet. Then compare the UTR numbers in this sheet against column B of the Bank Statement tab. Mark any UTR that appears in both as "Matched" in column E. Mark any UTR that is in the settlement data but not in the bank statement as "Missing from Bank" in column E.

SheetXAI pulls the March settlement data, writes it into the sheet, and runs the comparison against your Bank Statement tab. You see the gaps immediately.

What You Get

A reconciliation sheet with every March settlement:

  • Settlement ID, UTR number, settlement amount, settlement date — one row per settlement
  • Column E — "Matched" for UTRs that appear in the bank statement, "Missing from Bank" for gaps
  • No manual VLOOKUP — the matching logic runs inside the prompt

Missing UTRs are visible immediately. You know which ones to chase before the close deadline, not after.

If a settlement amount does not match the bank statement amount for that UTR, ask SheetXAI to add an amount-difference column. It adds the comparison inline.

What If the Data Is Not Quite Ready

Reconciliation work has edge cases. SheetXAI handles them in the same prompt.

When the bank statement has UTR numbers in a different format

Razorpay stores UTRs like RAZR0001234567 but your bank statement shows them as RAZR-0001234567 with a dash.

Fetch the Razorpay settlement data for March 2025 and import UTR numbers as-is. Before comparing against the Bank Statement tab, strip hyphens from both the settlement UTRs and the bank statement UTRs in column B, then match on the normalized values. Write "Matched" or "Missing from Bank" in column E.

When you need to match amounts as well as UTRs

Some UTRs appear in both datasets but for different amounts — a partial settlement, or an amount that was revised.

After matching UTRs, add a column F comparing the settlement amount in column C against the bank credit amount in column D of the Bank Statement tab. Write the difference in column F. Flag rows where the difference is more than ₹100 as "Amount Mismatch."

When you need to filter to a specific settlement cycle

Razorpay settles on a T+2 basis, but one settlement from 31 March landed on 2 April. You only want March bank credits.

Fetch the Razorpay settlement data for 1–31 March 2025. Filter to settlements where the settlement date (not the transaction date) falls within March. Import only those rows and run the bank statement comparison.

When you want the full recon pass — pull, match, flag gaps, and draft a discrepancy note

Fetch the Razorpay settlement recon for March 2025 and import settlement ID, UTR, amount, and date into this sheet. Compare UTRs against column B of the Bank Statement tab and flag each as "Matched," "Missing from Bank," or if the amount differs by more than ₹100, "Amount Mismatch." Then write a short summary paragraph in cell A1 listing: total settlements, total matched, total missing, and total amount mismatches. I will copy that paragraph into my client report.

The pattern: the data pull, the comparison logic, and the summary note all come out of one prompt.
