Export Overdue Trello Cards Across Boards to a Google Sheet

The Scenario

It's the end of the week and the delivery manager just got a message from a client: "Three of our milestones are past due and we haven't heard anything." You open Trello. There are cards. Some have red due date badges. You have no idea how many, which boards they're on, who owns them, or how far overdue they are. The client wants a report by end of day.

The bad version:

  • Open each project board, filter by overdue, screenshot the list, and manually copy into a spreadsheet
  • Realize mid-copy that the filter only shows cards where the due date is marked "not complete" — not all overdue cards
  • Send a report that's missing 8 cards from a board you skipped

The client sees the gaps before you do. That report cannot be incomplete.

The Easy Way: One Prompt in SheetXAI

SheetXAI is an AI agent that lives inside your Google Sheet. It reads your sheet, connects to Trello, and can query multiple boards in a single prompt. You get the results written back directly into your spreadsheet — no screenshots, no copy-paste.

The prompt to run:

Get all cards from the Trello boards listed in column A of this sheet that have a due date before today and are not marked as due-complete. Write card name, board, list, due date, days overdue, and assigned members into a results tab called 'Overdue Cards'.

What You Get

  • One row per overdue card, across every board listed in column A
  • Columns: card name, board name, list name, due date, days overdue (calculated), assigned members
  • Written to a results tab so your main sheet stays untouched
  • Cards sorted by days overdue descending — the worst ones at the top

What If the Data Is Not Quite Ready

Board names aren't in the sheet yet — you need to list them first

List all open boards in our Trello organization and write their names into column A of this sheet so I can select which ones to query for overdue cards.

You want to include cards due today (not just past due)

Fetch all cards from the Trello boards in column A that have a due date on or before today and are not marked due-complete. Write card name, board, list, due date, assigned members, and whether the due date is today or in the past into the results tab.

You need the assigned member's display name not their username

Get all overdue cards from the Trello board 'Project Delta'. For each card, write the card name, due date, list, and the full names (not usernames) of all assigned members into this sheet.

Full client-ready escalation report

Fetch all cards with a due date before today that are not due-complete from the three Trello boards in column A. Write card name, board, list, due date, days overdue, assigned members, and the last comment text on the card into a tab called 'Escalation Report'. Sort by days overdue descending.

That last prompt surfaces the context — the most recent comment — alongside the delay, so the manager can walk into the client call with explanations, not just a list of names.
